- Exciting support role in a renowned financial institution|Long-term temporary contract with possibility of extension
For our client, an international financial institution with an excellent reputation in Basel, we are currently looking for a highly motivated Administrative Assistant100% who is able to start on short noticeon a long-term temporary contract (until January 2023 with possibility of further extension).
Job Description
- Become the go-to person for onboarding new staff. Take over the responsibility of ensuring the administrative processes run smoothly. You will also be instrumental in setting up these processes for our new locations.
- Create and maintain the overview of procurement statuses across the centres. You will take care of the administrative part of procuring services and goods and keep track of whether payments are on schedule.
- Assist the Management Secretary in their duties, which can include tasks such as managing calendars, responding to communication on behalf of the management, preparing documents and coordinating visit programmes.
- Provide administrative support to external users
- Support other administrative functions in the secretariat. This includes for example scheduling team meetings, managing the general inbox, managing documents, maintaining the customer relationship management database, and assisting in external meeting and event preparation.
- Commercial Apprenticeship or equivalent
- Minimum 5 years’ secretarial and administrative experience ideally in a banking / financial services environment
- High level of proficiency in SharePoint and MS Office applications, especially Outlook, Word, Excel and Power Point
- Fluent in English (spoken and written), ability to write and edit official invitations and other communications, German is a plus
- Experience in setting up new administrative processes
- Excellent organization and time management skills
- Independant and fast learner
- Strong attention to details
