  • Perform administrative functions, including but not limited to proactive calendar management, organizing on site and remote meetings, travel arrangements, preparing T&E reports, creation of purchase orders, requisition of supplies
  • Support manager and the team to navigate various administrative systems and databases in compliance with applicable procedures
  • Supports manager in researching inquiries and tracking and interpreting data from various databases
  • Support manager and team as needed for finalizing/formatting various presentations
  • Coordinates receipt, appropriate signature and return of (para)legal documents as needed
  • Maintains departmental SharePoints
  • Keeps team informed of “need to know information” in own area of responsibility
  • Predicts needs of managers and/or team, and take appropriate steps to produce desired outcome with minimal assistance from supervisor with accuracy and efficiency to meet all deadlines.
  • Anticipate key administrative issues and implement action plans based on changing priorities and commitments or integration/consolidation of new systems
  • Exhibit a positive work attitude, high productivity and a collaborative approach with other employees across an international environment.
  • Interfaces in a professional manner with other executives and matrix team members.
  • Handles confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations.
  • Demonstrates proficiency in computer software applications to improve administrative work measurements and departmental performance standards.
Degree RequirementsHigh School degree, college qualifications or University degree desirable.Experience RequirementsMinimum 5 years administrative or comparable experience;Key Competency Requirements
  • Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint).
  • Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports Business needs across different time-zones and during periods of heavy workload.
  • Successful candidate must be able to learn new tools and systems in an ever-evolving environment.
  • Exhibits a positive work attitude, and high productivity
  • Excellent verbal and written skills
  • Proficient in English. French - nice to have.
