Urgently looking for an Administrative Assistant with strong multinational company experience background, preferably at pharmaceutical company.

Duration: 1 year term contract with possibility of extension

Starting date: 01/02/2023

Responsibilities

  • Provides all-around high-quality administrative support to the department
  • Organize inter-functional and external meetings
  • Manages and maintains electronic diaries
  • Establishes and maintains efficient office systems, e.g. correspondence management, filing, reporting etc.
  • Liaises and co-ordinates with other administration staff in the affiliate and whenever necessary region
  • Support administrative tasks related to new hires/termination
  • IT/Security local point of contact
  • Ensures smooth execution of all administrative tasks and responsibilities as well as issue resolution
  • Acts as a competent proactive and reliable support to Managers’ daily activities
  • She/he is the point of contact with people from both inside and outside the organization (whenever needed)
  • Produces high quality documents, presentations, briefing papers, spreadsheets, and reports
  • Carries out background research and presents findings to the department or managers.
  • Events and Projects management tasks
  • Operational management (ESE tool management, vendor management, logistic around events, maintaining contract systems (Determine), repository and other arrangement as per business needs
  • Managing and supporting various internal and external events and communicate accordingly
  • Support communication on events and activities.
  • Contributes to Company alignment to national law requirements and internal/Corporate procedures and policies
  • Ensures compliance at all time
  • Other administrative and organizational job duties may be assigned and modified as business needs require.

Qualifications

  • Min. 5 years’ experience in a similar role
  • Relevant education, tertiary degree will be a plus
  • High quality general secretarial skills – including Word processing, advanced Power Point, Advanced Excel, etc.
  • Diligent with strong attention to detail
  • Problem solver, ability to analyze problem and suggest best possible solution
  • Excellent time management and organizational skills
  • Working as part of a team to ensure administrative needs are met throughout the organization
  • Flexible and driven
  • Previous experience in pharmaceutical companies will be an advantage
  • Excellent communication skills, ability to communicate at all levels of the organization
  • German (native level) and English (fluent level) required. Any additional European Languages will be a plus (e.g., French, Italian)
