Assistant Facilities & Office Manager

Position Summary

The Assistant Facilities & Office Manager will report to the Executive Director, Global Head of Security, Real Estate & Facilities, and manage the execution of day-to-day facilities operations, quality oversight, and planning of hard and soft services, in support of the building and premises of the Alexion international Headquarters. In this role, this person will act as a corporate ambassador to our business units and be the primary contact for facilities management for all facilities related issues. The Facilities Manager will work closely with internal and external resources on the execution of daily operations and ensure exemplary customer service to business unit leadership and employees across the enterprise as well as partnership excellence with all facilities vendors.

The right candidate must be a team player with the right attitude and have three plus years of management experience preferably in a large corporate environment. This role is responsible for the management of services and processes that support the core business of an organization ensuring that the organization has the most suitable working environment for its employees and their activities using best business practice to improve efficiency, by reducing operating costs while increasing productivity, service levels.


Principal Responsibilities

  • Manage and oversee building operations requests and programs, providing prioritization, direction, and support to facilities vendors
  • Build annual budgets in coordination with Global Finance and service vendor(s) with an eye toward continuous improvement within a vested services model
  • Drive out unnecessary costs from the system over time as budgets/service levels normalize
  • Establish a robust performance management program to hold our FM vendor(s) accountable for defined service levels, reviewed on regular intervals with key stakeholders
  • Proactively manage services levels to ensure that work by contractors has been completed to satisfaction
  • Manage the feedback process for internal customers and external service providers to provide timely status updates and improve workflow efficiency
  • Oversee work orders and provide status reports on all service now calls, ensuring proper workflow and issue resolution
  • Serve as primary point of contact for contracted facilities services vendors on all building services issues as needed to complete both requested and special activity work
  • Manage approved facilities management projects, liaising between with business unit leads as needed to deliver successful outcomes
  • Develop and maintain strong relationships with building property management, tenants, and outside service providers to facilitate building operation and improvement activities
  • Support day-to-day coordination and planning of essential site services such as on-site FM support services (tenant services, maintenance, mailroom, cleaning, catering, waste disposal).
  • Develop and implement strategies to ensure a safe and an environmentally sound workplace; ensure the building meets health and safety requirements and complies with the site’s business continuity plan
  • Ensure current safety policies and procedures are followed and remain in compliance with local, state, and federal rules/regulations
  • Implement FM guidelines, standards, policies, and vendor management program
  • Oversee allocation and utilization of space and resources assisting with the coordination of building space allocation, layout, and communications

Working Relationships

  • Develop and maintain positive relationships with employees and leaders across the site, as well as, with vendors and contractors.
  • Establishes and nurtures highly effective relationships with employees, customers and stakeholders that support and advance business goals and objectives.
  • Ability to work collaboratively and seamlessly with FM providers and internal Operations, Administrative and Finance teams to develop and deliver site operational deliverables.

Qualifications

  • 5 years’ experience in facility activities, which include direct work with clients, vendor managers, engineers, contractors, and consultants.
  • 3 years’ direct hands-on facilities / contract management experience which should include development of customer requirements, formulation of implementation plans, project execution, fiscal management, and team leadership.
  • Excellent negotiation, facilitation and consensus building skills.
  • Proven capability to implement corporate and department level standards, policies, and procedures.
  • Operations experience is essential

Education

  • Bachelor of Science degree in Architecture, Facilities Planning, Hospitality, Construction Management, or related discipline is preferred
