Mission 1: Administrative Assistance
- Answering phone calls & manage the front desk
- Writing and editing e-mails, drafting memos, and preparing communications
- Organising meetings, including scheduling, sending reminders, and organising catering when necessary
- Ordering office supplies
- Provide management team with extensive and continuous calendar management, domestic and international travel management, expense management, event registrations and detailed meeting plan management etc.
- Arrange on- and off-site meetings, events, appointments & travel for departmental leadership with supporting materials as needed
- Respond to a wide variety of requests for information, policies and procedures, and executive action. Analyse needs and problems and determine approach and priority.
- Complete minor accountancy tasks such as archiving invoices & communicating them to the third-party accountancy firm
- Support in preparing payment requests
- Exchanges with internal accountancy services
- Formal follow up with vendors
- Monitoring of paid leave for employees
- Collection of variable payroll elements
- Complete requests for health insurance affiliations
- Complete request for occupational health visits
- Ensure the completion of correct requests related to company and government guidelines concerning transparency vis à vis Healthcare professionals
- Excellent written & spoken English

Compétences techniques / Technical skills
- Excellent mastery of desktop tools
- Strong editorial & language skills both in French & English
- Ability to manage multiple assignments, set priorities, and adapt to changing conditions
- Must be an exceptional listener and communicator who effectively conveys information verbally and in writing
- Ability to function well in a high-paced and at times stressful environment
- Ability to show and demonstrate on a consistent basis initiative, professionalism, poise and flexibility and work within an environment of frequent interruptions, conflicting priorities, and varying workloads
- Ability to observe strict confidentiality in all aspects of services provided
- Ability to anticipate needs, resourcefulness and responsiveness are essential
- High school diploma or equivalent
- 2-5 years of experience in a similar role
