PURPOSE OF POSITION

The Recruiting Administrator supports the Recruiting team with all administrative tasks around the preparation, selection and hiring of new crew for Viking’s hotel divisions. The main responsibility of the Recruiting Administrator is to enable the Recruiters to make hiring decisions. By managing documents and data files, and through the preparation of assessment centers, career talks and personal interviews this role has a significant impact on the candidate experience. Furthermore, the Recruiting Administrator will maintain a professional and healthy relationship not only with internal stakeholders (i.e. HR and Scheduling) but also with external partner agencies, and represent Viking as the Employer of Choice in the industry.

The Recruiting Administrator will report to the Senior Manager Recruiting and will be located in Basel, Switzerland. Please note that we can only consider applicants with a valid Swiss work permit or candidates who are eligible to work in Switzerland.

Responsibilities
  • Keep the overview and tidiness throughout the entire recruiting process from application to hiring stage
  • Data maintenance of the talent pool
  • Main point of communication between recruiting partners worldwide and internal line managers for interview arrangements
  • Maintain the agency and documentation database required for the daily operations
  • Tracking and auditing the costs related to all recruiting activities
  • Ensure that adequate reporting (statistics and financials) of recruiting and deployment data are constantly up to date and available to stakeholders
  • Preparation of assessment centers, career talks and personal interviews with international candidates
  • Responsible for 1st level candidate correspondence providing guidance and information to the candidates during the application process
  • Support with selective application review
  • Central point for logistical travel and locations arrangements of worldwide interview locations
  • Regularly updating recruiting requirements based on operational needs and following HR policy
  • Maintain business relationships with a trusted network of high-quality recruiting agencies in all relevant markets
  • Arrange and keep the overview of training activities throughout the year or during periodical peaks; this includes very close communication with the Learning & Development and the HR departments
QUALIFICATION PROFILE
  • Background in an administrative position, preferably with HR background and international experience
  • Excellent written and spoken communication skills
  • Fluent in English, additional languages are a plus
  • Excellent computer knowledge; proficiency in serial letter and mail merge functions in Word, and data maintaining tools in Excel required; Powerpoint experience, MXP & SuccessFactors knowledge are an asset
  • Excellent organizational skills, service-oriented and client-focused
  • Ability to set priorities to given tasks and able to adapt to changes fast
  • Open for new ideas and technical innovations, honest, critical, energetic, and enthusiastic
  • A self-starter with a can-do mindset, with complete attention to detail
