    • Organizational Setting
    The post is located in the Madrid Registry, Brands and Designs Sector. The Madrid Registry is composed of four divisions: Madrid Legal, Madrid Information and Promotion, Madrid Operations and Madrid Information Systems. The Madrid Registry is responsible for the management, promotion and future evolution of the Madrid System.

    The Madrid System is administered by WIPO and facilitates the obtaining and subsequent management of trademarks in up to 124 countries by means of one single application, filed in one language, with one set of fees. The Madrid System therefore provides rights to holders with a cost effective solution by filing one application rather than individual national applications. The Madrid System does not specifically refer to an IT system but to the overall Madrid international trademarks mechanism.
    • Purpose Statement
    The current Madrid IT system has a set of existing legacy applications, which support the ongoing activities of the Madrid System. These systems must be continuously improved and maintained in an operable state at all times, as WIPO receives, processes and submits thousands of transactions per day, and downtime and / or unpredictable behavior is not acceptable.

    The future IT system should be capable of supporting the defined long-term Madrid Strategy, and co-exist with the current IT system during any planned transition period.

    The main objective of the incumbent is to gather internal and external user requirements, produce business specifications and follow through their implementation for the new Madrid IT System.
    • Reporting Lines
    The incumbent works under the supervision of the Continuous Improvement Manager, the designated Project Manager of the New Madrid IT Platform Project in the Madrid Registry.

  • Duties and Responsibilities

    The Incumbent Will Perform The Following Principal Duties

  • Analyse and document current business processes and user journeys, identifying and filling gaps in documentation where required.

  • Gather detailed internal and external user requirements via workshops, questionnaires, surveys, workflow storyboards, use cases, scenarios, and other methods.

  • Perform work-flow analysis and optimization based on bottom-up analysis of existing business rules and transactions and propose enhancement solutions.

  • Liaise with business representatives, internal and external stakeholders and users to ensure validity of inputs to business analysis tasks and to validate the results of any proposed changes.

  • Develop and document clear and unambiguous business requirements for IT functionalities and process improvements, including impact analysis, functional specifications, user stories, acceptance criteria, use case diagrams, data and process flow diagrams, etc.

  • Work in close collaboration with Madrid and other WIPO IT system delivery teams to ensure business specifications are properly understood by all stakeholders and translated into effective solution designs.

  • Coordinate with the testing manager that internal and external user acceptance testing during iterative development cycles is effectively performed to ensure that products meet functional specifications and customer quality expectations.

  • Perform other related duties as required.

  • Requirements

    Education (Essential)

    First-level university degree in Business Administration, Information Technology, Law, Science, Engineering or Humanities.

    Experience (Essential)

    At least six years of demonstrated experience and successful performance in Business analysis for IT software application development projects, IT system requirements and acceptance criteria creation, Business process and data workflow analysis, conducting user interviews and feedback sessions. An advanced university degree may be accepted in lieu of two years of relevant experience.

    Experience in IT solution design process and Optimization of online user journeys.

    Experience (Desirable)

    Experience working with development software including Atlassian JIRA or similar products.

    Experience with international IP registration systems.

    Experience with legacy IT systems.

    Language (Essential)

    Excellent knowledge of written and spoken English.

    Language (Desirable)

    Knowledge of other UN official languages.

    Mobility: WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities, office or duty station of the Organization. Accordingly, the selected candidate may be required to move from time to time to new functions and/or to another duty station.

    Annual Salary

    Total annual salary consists of a net annual salary (net of taxes and before medical insurance and pension fund deductions) in US dollars and a post adjustment. Please note that this estimate is for information only.The post adjustment multiplier (cost of living allowance) is variable and subject to change (increase or decrease) without notice. The figures quoted below are based on the July 2021rate of 83.6%.

    • Initial period of one year, renewable, subject to funding and satisfactory performance. Fixed-term appointments granted for approved projects shall be for a period whose minimum and maximum duration are tied to the funding and terms of reference of the project. The overall duration of a fixed-term appointment for a project shall normally not exceed five years. Fixed-term appointments granted for approved projects shall not be converted to a permanent or continuing appointment.
