JobPurpose

This person is responsible for auditing and seeking refunds from Landlords for annual operating expenses in N. America Region. Follows established departmental procedures, recommending improvements or enhancements to further increase savings. Works with Business Development, Rent Accounting, and Centre personnel to obtain necessary lease/building specific information to complete audit.  Interacts directly with Landlords, requesting documentation and assertively seeking refunds for any overcharges while maintaining a positive relationship with our Landlords.   

KeyResponsibilities
  • Receive Landlord operating expense invoices, compare against lease documents, accounting reports and centre-provided information. 
  • Document errors & work to resolve directly with Landlord’s representative. 
  • Input invoice amounts onto trend reports, gross-up calculation spreadsheets to verify accuracy of billings. 
  • Track centre audit files in an organized manner, reporting progress on a monthly basis to Sr. Director. 
  • Works with accounting & dept. personnel to obtain necessary documentation for audit including prior annual invoices and finance reporting. 
  • Perform audit within audit window, including communication with Landlords as needed, phone calls/conference calls, e-mails and written correspondence. 
  • Must have strong persuasive skills as well as the ability to negotiate with Landlords, closing out claims in a timely manner. 
  • Escalate difficult claims to Sr. Director, for further direction. 
  • Assists with the implementation and development of new audit programs as time allows. 
  • Uses good interpersonal and communication skills, with emphasis on persuasiveness and negotiations to collect data/claims. 
  • Works on multiple audit claims simultaneously, prioritize, follow-up and bring projects to conclusion. 
  • Attention to detail and accuracy, with strong analytical skills and with a true sense of urgency. 
  • Proactive and passionate about quality, honesty, and work with a determination to succeed. 

RequiredSkills, Experience & Qualifications
  • High school diploma with some college .
  • Four years related experience working with real estate leases, able to interpret legal lease language .
  • Experience in preparing operating expense reconciliations is a plus! 
  • Strong organizational, interpersonal and written/verbal communication skills .
  • Attention to detail and accuracy, with strong analytical skills .
  • Multi-tasking skills and ability to change priorities/duties a must .
  • Thorough working knowledge of Microsoft Word and Excel .
  • Lease database experience preferred .
  • English and other European languages appreciated .
