Executive Assistant and Office Manager

We are looking for an experienced Executive Assistant with facility and travel management responsibilities to join Huhtamaki in our Zug office.

As an Executive Assistant, you will provide administrative support to the President of Huhtamaki Flexibles Segment. You will ensure effective and efficient time management, communication, and collaboration, through calendar management, meetings & travel arrangements, and assist the President of Huhtamaki Flexibles’ Segment in the daily routines of his different roles as Executive, member of the Group Executive Team and leader of the Flexibles Segment.

In addition this role will have a strong focus on facility and travel management:

As Facility Manager you will play a key role in ensuring that our Zug office is a “Great physical place to work in”. You will be the main point of contact in Huhtamaki Zug facility related matters, provide solutions, facilitate and influence self-oriented ways of functioning at the office, manage suppliers and ensure proper day to day maintenance and coordination of office services with good quality results.

As the Local Travel Manager you will contribute to taking into use given travel tools while working together with Huhtamaki HQ. You will contribute to find solutions when needed to adjust to local requirements. You will act as local key user for these travel tools and train local employees to help them becoming independent in terms of travel bookings and expenses reports. You will handle travel related local communications and support our Zug office employees and visitors producing travel documents as needed and following up on possible travel restrictions.

Our ideal candidate has a good track record with several years of experience as Executive Assistant and office/travel coordinator; is customer service oriented, technically skillful, a great communicator, a fast learner who finds it easy to adapt, contributes to change and understands the value of teamwork, collaboration and confidentiality.

We are looking for a self-motivated Executive Assistant who takes pride in his/her role, who is capable in taking the administrative services to the next level and who will positively influence the environment and help our Zug team with facility an travel related matters.

In this position, you will report to the President, Flexible Packaging.

Requirements

To be successful in this position, you should be customer and results orientated and systematic. Flexibility and ability to manage and proactively drive multiple tasks in a cross-cultural environment is essential. Attention to detail and excellent organizational skills are a must in this position. As a person you are equipped with good interpersonal skills, you are solution-oriented and highly motivated, and you enjoy working in a constantly changing and developing international business environment.

Other Qualifications For a Suitable Candidate Are
  • Preferably over 5 years of work experience in an Executive Assistant / facility – travel coordinator, manager or equivalent role in an international environment. Experience from working for a listed company will be seen as an advantage.
  • Ability to organize, prioritize, and complete work under time pressure
  • Excellent written and spoken English, and great communication skills
  • Demonstrated proficiency in the use of MS Office tools
  • Interest in digitalization and new tools
  • Bachelor’s or Commercial degree
