ROLE: Supply Chain Administrator (100%)

ORG: Supply Chain Operations

MAIN PURPOSE OF THE JOB:

In this role, you will be involved in a diverse range of end-to-end Supply Chain activities, in areas such as Materials Planning, Procurement, Production Scheduling, Logistics, etc. Our devices are of high technical complexity, including mechanics, optics, electronics, fluidics, software, and biochemistry components. Your role is critical in ensuring we consistently deliver the right products, at the right quantity, place, time, price and quality to our customers around the world. REPORTING LINE:

Head of Supply Chain Operations

KEY RESPONSIBILITIES:

  • Liaise with centralized order processing teams, customers, sales, product managers, service technicians and other colleagues, to provide delivery dates and shipping information of devices, demo systems, consumables and spare parts.
  • Arrange transport worldwide, with approved logistic providers.
  • Raise commercial and proforma invoices, as well as credit notes when necessary.
  • Prepare all documentation for customs and/or import purposes.
  • Schedule production for devices, consumables and spare parts in line with requirements, the defined production strategy and stock targets.
  • Run MRP, confirm requirements and raise POs based on defined key parameters.
  • Co-ordinate with colleagues in Production, Inventory management, Shipping and Quality, to ensure that products are available on-time to meet customer requirements.
  • Raise PO’s for “non-production” related purchases once approved PRs are sent by team members and departments.
  • Co-ordinate with internal partners the placement of intercompany POs to support internal stock transfers/movements.
  • Liaise between our R&D Team and Vendors to ensure the latest specifications and technical drawings are shared accordingly.
  • Manage the “returns” process.
  • Ensure SAP master data, including purchasing prices, are always accurate and up to date, as well as create and set up new Vendors.
  • Participate in work groups related to product changes and new introductions.
  • Collaborate with Finance with the validation of month-end and quarterly closing reports, as well as “PO to Vendor Invoice” matching.
  • Prepare Supply chain performance reports.
  • Co-ordinate activities with external service providers related to infrastructure and maintenance of on-site equipment.
  • Participate in external audits.
  • Conduct ad-hoc improvement projects.

What we expect:

  • Concluded commercial apprenticeship and/or BA degree in Supply Chain / Logistics / Business Administration and/or 2-5 years practical work experience in a similar role
  • Fluent in written and spoken in both English and German
  • Excellent Microsoft/SAP/IT and analytical skills
  • Multitasking and prioritizing capabilities
  • Exceptional attention to detail
  • Fast learner, efficient and well organised
  • Reliable and independent
  • Strong negotiation skills
  • A team player, with a helpful and professional attitude

Would be an advantage:

  • Previous work experience in Biotech or Medical device companies
  • At least 2 years practical working experience with SAP (modules SD, MM and PP)
  • Experience in conducting small process improvement projects
  • Understanding of integrated supply chain and logistics concepts and theories
