We look for an Executive Assistant (f/m/d) to the Vice President Engineering Polymers.

The position is based in Meyrinand covered by atemporary contract (third party contractor).

The Executive Assistant provide support to a single high-level individual or a small group of high-level people. They are there to assist executives with administrative duties, travel arrangements, calendar management, and a wide variety of other responsibilities.

ROLE DEFINITION

Executive Assistant can complete many of the same tasks as an Administrative Assistant, their value is added in the additional proactivity and tactical expertise that they bring to the role. This involves supervising and training other office staff, as well as tackling difficult tasks. Executive Assistant solve problems, devise business strategies, manage projects, plan events, guide communications, and other activities. They work as a key partner, willing to have high-level conversations and research solutions to problems. Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

Responsibilities Description

Reporting to the M&M Vice President of Engineering Polymers, the Executive assistant is accountable for delivering administrative support to the VP and members of the leadership team. Foster positive relationships while interacting with staff and various levels of management from within and outside of the department to provide or gather information often of a sensitive and timely nature. Build strong relationships within the company to ensure efficient and effective collaboration fostering an atmosphere of engagement, as well as with administrative assistants of other management team members to ensure a high performance, customer service-oriented work environment.
  • Administrative Support arranges travel, expense reports, and meeting planning as necessary for the executive leadership and as well as other members of the team as applicable;
  • Communication manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks. Manage information flow in a timely and accurate manner. Organize team communications and plan events, both internally and offsite. Update/maintain distribution lists and organigrams;
  • Marketing enhance, create and support EMEA Town Halls, communication sessions and events for M&M EMEA and EP globally Brainstorming and implementing different communication sessions/ events plans and concepts. Post-event communication, reporting & analysis. Provide technical support, guidance, coordination with different available tools (eg, Slido, Teams live event, monkey survey);
  • Human Resources assist in the integration and onboarding process of new employees. Including but not limited to coordinating phone system, business cards, office and IT. Knowledge of employee policies and procedures. Provide training as necessary to the Administrative Assistants;
  • EMEA Management support support and liaise with Regional Management on diverse matters such employee recognition, integrate and promote and support local projects achieving the desired results. Support the Plastics Europe Board;
  • Project Management Support support Corporate on diverse matters such as Workday, D&I, event technical support.
Job Qualifications

A successful candidate must have
  • Bachelor’s degree required;
  • 5+ years of related experience required in working in an executive assistant role supporting;
  • Advanced knowledge of Microsoft Office (Word, Excel, Powerpoint, SAP, MS Teams;
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response;
  • High degree of professionalism in dealing with diverse groups of people, including senior executives, staff and community leaders;
  • A service-minded attitude and proper etiquette to effectively and respectfully communicate with internal and external stakeholders.
  • Fluency in English is mandatory.
