The Role:

The Executive Assistant will support the Global Head of Solutions Architecture, Video Collaboration (VC) by providing executive-level administrative support, scheduling & coordinating internal & external meetings, arranging travel and correspondence.

This role will report to the Global Head of Solutions Architecture, Video Collaboration and the position is based in Lausanne.

  • Provide personal administrative support and assistance to the Global Head of Solutions Architecture, Video Collaboration

  • Manage and maintain the Global Head of Solutions Architecture schedules, appointments and travel arrangements.

  • Prepare and edit correspondence, communications, presentations and other documents.

  • Assist with expense reports.

  • Arrange and coordinate regular meetings and/or ad hoc events.

  • Record, transcribe and distribute minutes of meetings.

  • Monitor, screen, respond to and distribute incoming communications.

  • File and retrieve documents and reference materials.

  • Conduct research, collect and analyse data to prepare reports and documents.

  • Maintain databases.

  • Answer and manage incoming calls.

  • Receive and interact with incoming visitors.

  • Liaise with internal staff at all levels.

  • Interact with external clients.

  • Coordinate project-based work.

  • Review operating practices and implement improvements where necessary.

  • Coordinate logistics, agenda, evening dinners and/or party, goodies, etc.

Key Qualifications:

For consideration, you must bring the following skills and behaviors to our team:

  • At least 2 years of experience in an international environment providing support at a very high level.

  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office/G-Suite.

  • Proactive, able to take initiatives and flexible.

  • Good judgment and decision-making ability.

  • Able to also work time to time with a team located in California (PST time zone) and a team based in Asia

  • The role must have cultural competency, willing and effective at interacting with different locations & cultures.

  • Strong organizational & planning skills, attention to detail and focus on accuracy and quality.

  • Flexible, able to handle changes and pressure.

  • Knowledge of standard office administrative practices and procedures.

  • Basic finance and accounting knowledge and understanding.

  • Fluent in English and French, written and spoken, and any additional language is a plus.

  • Excellent interpersonal skills.

  • Very good communication skills, capable of adapting communication style to the audience.

  • Able to analyse problems and bring creative solutions.

  • Reliable, trustworthy.

  • Minimum willingness to travel (10%).
