The role

We are looking for an enthusiastic, adaptable, and highly organized Executive Assistant to provide high-level administrative support and team coordination for our Chief Marketing & Communications Officer.

As the first point of contact for all enquiries, this position is for someone who enjoys a busy role in a high-profile and fast-paced global organization. We need someone with excellent attention to detail, very strong planning and prioritization skills, and the ability to juggle multiple projects efficiently. You will be an excellent communicator and an open, approachable team player.

Key Responsibilities
  • Plan and organize work to support the CMCO, ensuring her priorities are met, organizational goals are achieved, and best practices are upheld
  • Maintain and refine internal processes
  • Organize team communications
  • Complete diary management, arranging and coordinating all internal and external meetings
  • Prepare and coordinate meeting materials, agendas, presentations, and minutes
  • Prioritize emails and respond when necessary
  • Compile market research information
  • Collaborate with the internal events team to organize Marcom events and workshops
  • Coordinate travel arrangements
  • Maintain professionalism and strict confidentiality

Skills And Experience
  • Five or more years of experience in an administrative role reporting directly to upper management
  • The ability to work closely and build trustworthy, collaborative relationships at all levels of seniority
  • Diary management experience with the aptitude to juggle very busy schedules, conflicting demands and changing priorities
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
  • Excellent organization skills
  • Excellent written and verbal communication skills
  • Native English speaker or business-level proficiency
  • Positive, fun attitude
