Are you detail-oriented multitasker? Do you know how to make sure things run smoothly?
We’re looking for an Executive / Team assistant to support our HR Performance and Reward function to:
- manage calendars including meetings, conference calls, vacations, travel across multiple time zones and the globe
- assist with prioritization and communications across the team and with other areas
- arrange travel bookings, various internal and external meetings, and conferences including coordinating locations, attendees, materials and communications
- manage office administration and logistics including handling mail, supplies and materials
- assist in the preparation of high-quality presentations, reports and other documents
- liaising with other assistants from multiple teams across the firm ensuring planning for deliverables
- organize and maintain sensitive and confidential information
- take care of finance management, including processing of invoices and expenses
- take on ad-hoc projects and tasks, being flexible and willing to go the extra mile at all times
- successful administrative experience in a demanding, dynamic, and fast-paced global environment
- experience working on sensitive matters, with the highest levels of integrity and discretion
- great at prioritizing, deliver within tight deadlines, and perform under pressure
- flexible, adaptable, can-do attitude
- keen attention to detail, organized and able to seamlessly multitask
- comfortable and experienced in interacting with colleagues at all levels
- proven written and verbal communication skills with fluency in English and preferably German
- proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams, Skype)
