Position Summary
As an Administrative Assistant within the Operations Assistants team, you will be responsible for the smooth running of the day-to-day administrative activities. You will be the main point of contact for the Head of Operations Strategies and Head of Agriculture and their teams. You will also collaborate and work in One Assistants Operations Team and contribute to all functions as needed. You will manage the administrative tasks and prioritize commitments in order to respect deadlines.

A Day in the Life of an Administrative Assistant
- Coordinate the agenda, prioritize, organize and prepare meetings with the appropriate documents
- Identify, anticipate and prioritize incoming mail and prepare information required to ensure timely follow-up (i.e. for correspondence, minutes, presentations, etc.)
- Organization and coordination of virtual and physical workshops, meetings, trainings and other team events
- Coordinate the Procurement process and ensure timely follow-up and budget
- Organize travel arrangements and manage travel expenses
- Maintain content of Digital platforms and contribute to innovative solutions
- Act as point of contact for the deployment of new Nestlé solutions (IT/office tools, processes and policies)
- Support Onboarding activities of new team members in the supported functions
- Provide proactive support and collaborate with the Operations assistants team on projects whenever applicable and provide flexibility to support all Operations functions
- Confirmed and successful experience as an Assistant or in a similar role
- Strong customer service and team mindset
- Flexible with strong attention to details and capacity to work within tight deadlines
- Excellent stakeholder management, communication and organization skills
- Conscientious, reliable & flexible with collaborative mindset and can-do attitude thriving to go beyond
- Excellent command Microsoft Office tools and applications and advanced digital mindset and skills & Concur (travel management tools)
- Fluency in English and French
