Why we are recruiting
All of the Forum’s Centres currently manage grants and funding arrangements with a range of philanthropic, corporate and government donors, housing numerous platforms and initiatives on a range of topics. The Forum is increasing on an annual basis the pool of grant funding that it receives with more than 160M of active grants today.
The role will be part of the Forum’s Grant Governance team, positioned as the institutional function supporting teams in grants management. This includes leading the development of internal processes and policies to advance the Forum’s growing grant operating model, and supporting fundraising and proposal.
The Grant Management Specialist will be an integral part of this team, working to support the continuous management of key grant related governance processes and play a key role in supporting platforms across the lifecycle of the grant.
Reporting lines and interactions
You will report to the Manager, Grant Governance, and work closely with the other colleagues of the team implementing grants across all the Forum’s platforms and initiatives. Beyond this, you will work with counterparts across the Forum’s support functions including, but not limited to, Finance & Controlling, Legal & Compliance, and People & Culture.
Breakdown of main responsibilities
  • Support teams across all Platforms of the Forum in undergoing institutional grant related governance processes, including to vet and support quality assurance for grant proposals, budgets and ensuring that the key parameters of the grant are aligned with internal standards and requirements
  • Review and perform risk assessments on grant conditionalities and restrictions, providing advisory support to the teams on mitigation measures related to grant agreements
  • Support the development and operationalization of a proposal review process ensuring proposals are in alignment with Forum standards, donor expectations and strategically aligned to Platform priorities
  • Build the capacity of teams to effectively manage funding through the Forum’s grants lifecycle through training, knowledge sharing, and dissemination of templates and support tools
  • Provide support in helping staff navigate the Forum’s grant opportunity pipeline in Salesforce, overseeing data quality from opportunity to agreement signature and recording relevant grant commitments from agreement to grant closure.
  • Work with IT teams to build dashboards and status reports to support teams with funding analysis and key trends across Platforms.
  • Act in close coordination with Finance, Legal & Compliance, platform teams, and other key stakeholders across the Forum on all grant related matters from opportunity to grant closure, including collaborating with them to develop new processes, policies and tools to support the wider grant funding business model
  • Ensure centralized filing of grant related documents in Salesforce, ensuring streamlined and effective management of DF opportunities and grants
The successful candidate will be assessed on
  • Knowledge of the wider donor landscape and grant related requirements

  • Ability to become a go-to-person for direct funded teams who requires punctual support on processes concerning grant management
  • Contribution to operational efficiency of the team, including level of support in making the best use of digital tools and effectiveness in Forum processes
  • Ability to develop and pilot new processes, policies, and guidance
  • Ability to engage and support senior leaders across the Forum
  • Strong relationship-building skills, negotiation abilities and emotional intelligence
Preferred requirements and experience
  • Bachelor’s degree in business, international relations, public administration or other relevant field
  • 4-5 years of professional experience in grant/project management support, preferably in a grant-receiving organization or impact fund
  • Knowledge of governance processes and procedures around grant operations
  • Basic accounting and budget management skills along with high proficiency in MS Excel
  • Knowledge and familiarity with Salesforce, Tableau and other tools that support fundraising, grants management and business analysis
  • Ability to work collaboratively as well as independently in a fast-paced environment with minimal supervision
  • Excellent time and project management skills with the ability to manage several workstreams to tight deadlines
  • Flexibility, maturity, and the interpersonal and cross-cultural collaboration skills needed to work in a demanding, international environment
  • Excellent verbal and written language skills in English; verbal proficiency in other languages would be an asset
  • Ability to think outside the box and make propositions for possible (innovative) improvements
