For our pharmaceutical client in Allschwil we are looking for an HCP Coordinator/Admin 50%

(job title: Global Medical Operations Specialist contracting and logistics).

The position should be filled as soon as possible (urgent request), latest on the 1st of April 2022.

Primary Job Function

Provide administrative support to the Global Medical Affairs Department, in particular with contracting and logistical arrangements for Health Care Professionals engaged by Global Medical Affairs for scientific events, aligned with OEC and legal department.

Core Job Responsibilities

  • Prepare Professional Service Agreements (PSAs) in line with functional processes and requirements (legal, finance, office of ethics and compliance)
  • Evaluate legal affiliates templates and implement appropriate changed to best meet the KOL country of primary practice legal framework
  • Make logistical and travel arrangements for Health Care Professionals
  • Coordinate communication between all involved stakeholders
  • Ensure compliance with relevant corporate, divisional and affiliate policies and external regulations including transfer of value disclosure
  • Tracking of all engagements and related financial commitments
  • Ensure filing and archiving of documentation
  • Responsible to highlight document and resolve OEC procedures deviation together with the respective OEC responsible (global and affiliate
  • Act as a center of knowledge and process driver for all internal partners engaging HCPs

Position Accountability/Scope

  • All Health Care Professionals engagements managed by Global Medical Affairs
  • Global scope
  • Internal stakeholders: Global Medical Affairs, Global Marketing, Affiliate Functions, External Service Providers and Health Care Professionals
  • External stakeholders: External Service Providers, Authorities such as health governments and Health Care Professionals (and occasionally interaction with Universities/institutions that the HCPs work in/for)

Qualifications required

  • Commercial/administrative education is required or equivalent by experience
  • Excellent knowledge of English (spoken and written). Knowledge of German, French or any other language would be an asset
  • Sound knowledge of MS Office (Word, PowerPoint, Excel)
  • Well organized and eye for details
  • Service oriented
  • Able to work under pressure
  • Good interpersonal skills and team player
  • Ability to adapt herself/himself and be proactive to various contacts and different situations (multicultural environment, internal/external stakeholders)
