Overall Purpose

The HR Business Analyst & Admin, Senior Officer contributes to key HR processes in respect of the employee life cycle to ensure that individuals with the required skills and experience are recruited and talents are retained.

S/he also support the Head of HR to develop an employee-oriented, high-performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment.

S/he plays a crucial role in collecting, structuring, analyzing and reporting on HR KPI’s processes and data. S/he will have frequent interaction with all the Directors in the organization and maintains active links with other Leads and managers to maximize coordination and collaboration.

She/he will also provide other general administrative & systems support to other departments including Management of individual consultancy contracts, as well as providing ideas solutions and tools to optimize and implement new data processes and dashboard.

Tasks and responsibilities
  • HR Support
  • Recruitment - Talent Sourcing
  • Ensure compliance with internal recruitment guidelines
  • Provide a certain level of service toward internal stakeholders in recruitment coordination
  • Place advertisements on relevant websites and GARDP website –
  • Manage talent sourcing of candidate & applications
  • Utilize applicant tracking system to screen and recommend candidates for interviews
  • Responsible to train GARDP employees on the Application Tracking System (Workable)
  • Conduct and support the organization in interviews and tests
  • Coordinate and conduct pre-screen interviews
  • Ensure viable and relevant reference checks
  • Prepare offers and support transition from candidate to employee
  • Ensure Job description templates and job description catalogue are up to date and used transversally
  • Employee Life Cycle from recruitment to onboarding as well as off boarding
  • Acting as HR focal point for HR onboarding tools (Navision)
  • Ensuring proper sharing of Employee lifecycle HR processes and rules
  • Ensuring timely and compliant transition from candidate status to employee status
  • Coordinating, in close collaboration with concerned managers or other GARDP offices, the onboarding of new employees in GARDP
  • Managing HR induction and ensuring proper communication to concerned internal departments for all other entry aspects.
  • Coordinating various aspects of employee onboarding administration
  • Managing employment agreements inclusive of annexes, related amendments as well as all necessary supporting documents
  • HR Data Analyst
  • Backup HR & Admin. Senior Officer for Payroll when absent
  • Supporting implementation of new HR guidelines
  • Develops, Maintain, and evolves global HR KPI Dashboard on Headcounts and staffing to measure organizational effectiveness across regions and countries
  • Maintains HR dashboard(s) and data in a clear and compelling way to support HR and business audiences
  • Provides support to the development and roll-out of group HR Systems to ensure that key HR metrics will be incorporated and global reporting requirements
  • Maintain all compliance requirements, responsible for Access Right and ensure HR compliance
  • Organisational Admin & systems Support
  • Management of individual consultancy contracts to support the Head of HR & Business Support
  • Maintain and develop internal communication systems
  • Contribute to annual GARDP Action Plan development by working with R&D Portfolio and Planning Lead, Head of HR & Business Support and broader GARDP stakeholders
  • Give support to any other Department as needed, with data analyses, review, and reconciliation
  • Develop standard and ad’hoc reports, templates, dashboards and metrics
  • Support other departments as needed in optimising and implanting new data processes and systems
  • Manage Salesforce licenses and access rights in liaison with the Salesforce external consultant
Reporting line
  • S/he reports to the Head of HR & Business Support,
Interactions
  • S/he works with all GARDP teams and units in all departments
  • Collaborators, counterparts, and service providers are mainly in the functional area in and outside GARDP to get information, guidance, and feedback or to enlist cooperation. Works on the organization of representation of GARDP at smaller events and with external stakeholders of same equivalent level

Technical Skills
  • Good knowledge of the Swiss Labor law
  • Very good knowledge of data analytics, HR market KPIs
  • Very good knowledge and use of HRIS and software
Experience
  • Minimum 6 years’ relevant experience in which at least 3 years at Officer level or equivalent
  • 2 or more years HR functional experience required (recruitment, staffing, employee life cycle..)
  • Proven ability to work effectively in an international team environment and matrix structure
  • Prior experience of working both in not-for-profit and private sector is highly desirable
  • Proven experience working in all HR processes and knowledge of HR systems, databases and tools
Education
  • Bachelor degree or equivalent education in HR, Economics, or Business Management
  • HR Certificate in Human Resources not essential but a plus
Other Requirements
  • Fluency in French & English
  • Good knowledge of Microsoft tools and other applications required
  • Can analyze existing and newly collected data
