Job Description


Primary Function of Position:

As a member of the Regional People Services team, the HR OPS Specialist will provide client-centric HR services. S/he will contribute to company culture by building strong relationships that foster trust and accountability across the organization by resolving timely and accurately questions related to employment policies, programs, and processes.

Roles and Responsibilities:

  • Manage activities in employee life cycle.
  • Support managers in resolution of conflicts, case management, and simple ER cases with focus on Aubonne site with coaching from HRBP and cooperation with the Senior Manager ER EMEA and the HR legal counsel.
  • Establish oversight mechanism for long term sickness (+30 days) cases in Switzerland in cooperating with the Senior Director HRBP identify trends, establish 121 follow up with managers and support the design of return-to-work strategies.
  • In partnership with the benefits team evaluate and roll out external case management support for long term sickness cases.
  • Track and identify Swiss based employees with high levels of overtime and follow up with employee and manager on resolution. Escalate concerns to ER and HRBP.
  • Advise and guide managers on simple sickness absence related matters and escalate to HRBP and ER where necessary.
  • Help create training material and deliver training for managers of Swiss based employees on management of sickness, overtime and vacation.
  • Proactively engage with managers and educates them on ER, Sickness, Overtime and Absences in order to avoid employee situations to worsen.
  • Participate in benefits review and benefits assessment discussions and meetings for Switzerland organized by Benefits and provide the local lenses/perspective.
  • Act as frontline contact for employees’ questions regarding employment verifications, benefits, eligibility, and life events.
  • Support recruitment activities following up on job codes creation, JD’s updates, and HR systems updates.
  • Work closely with Payroll to ensure that pay for employees is accurate and correct.
  • Contribute to implementation of HR programs e.g., performance and compensation retro planning and follow up activities such as variable to include in amendments, audit of reports, JD’s recollection working with other HR functions and markets.
  • Thanks to his/her role in contact with managers act as a observer and report situations/trends to relevant HR stakeholders.
  • Liaise and coordinate support from and escalation to other Subject Matter Experts (SME), HR Business Partners (HR BPs), HR systems and Center of Expertise (CoE) for collaborative case management.
  • Develop and monitor HR Ops KPIs to identify efficiency and digitalization opportunities.
  • Produce reports and analysis to provide comprehensive insides to clients within and outside HR.
  • Prepare accurate and effective documentation / communication to clients in consultation with HR compliance and HR BPs for process / procedure / policy changes.
  • Ensure integrity of employee records and HR systems.
  • Work with HRBP to update employment contracts and formal documents.
  • Update HR Ops Knowledge Base and deliver training when required, to other HR representatives.
  • Support work council activities if applicable.
  • Proactively build a repeatable, scalable internal processes and contribute to localization of global processes.
  • Contribute to HR Ops and transversal projects and other duties as might be assigned.

Qualifications


Required Knowledge, Skills, and Experience:

  • Bachelor’s degree or equivalent with experience in at least one meaningful HR OPS/Generalist position in a global Hi-Tech company.
  • Knowledge of Swiss labor law.
  • Knowledge of other labor laws an advantage.
  • Experience managing and analyzing sensitive personal employee data in HR systems.
  • Proven experience collaborating successfully with multiple internal interfaces and external vendors.
  • Familiar with Total Rewards terms and benchmarks.
  • Self-starter and confident in handling day-to-day requests.
  • High ability in process management, problem solver with attention to details, strong analytical skills, organized.
  • Advanced computer skills, especially Excel.
  • Ability to translate data and insights to support decision-making.
  • Demonstrated ability to work independently, initiate and identify solution while prioritizing work and meeting deadlines.
  • Team player attitude with a solid communication skills and customer service orientation.
  • Solid written & spoken French and English, Germany a plus.
