Legal Operations Specialist

Job Description:

Purpose:

The Legal Operations Specialist will support the Ferring Legal team with projects and tasks that drive efficiencies and bring continuous improvement to the department and will also provide executive assistant support to the Chief Legal Officer. The Legal Ops Specialist will play an essential role in identifying opportunities for improvement and executing Legal Operations strategies that help sustain and improve the operational effectiveness of the Legal Department, in support of Ferring’s growth agenda. The successful candidate will also develop and maintain strong working relationships internally and externally while fostering a team environment and becoming a trusted departmental resource. In the executive assistant portion of the role, the successful candidate will support the Chief Legal Officer and will handle organization of Executive Committee meetings and communications.

Responsibilities and duties may include:

  • Reporting and Analytical responsibilities, including GC Metrics reporting and Legal Ops, CLM (Contract Lifecycle Management), Legal Spend, and ALSP (Alternative Legal Services Providers) dashboards, and others as applicable

  • Learning and Collaboration Initiative management, including maintaining and updating the department Learning Calendar

  • Partner with the Legal Ops team on Global Legal Operations projects

  • Carry out executive assistant tasks in support of Ferring’s Chief Legal Officer, including assisting with Executive Committee activities, leadership team activities, and other executive-level support.

  • Act as a Legal Operations liaison for the entire Legal department, assisting where needed and identifying opportunities for improvement or collaboration across the team

  • Act as backup for other Legal Operations team members

Required Experience & Competences:

  • 2 years of Legal Operations or related professional experience in a corporate support department or law firm; budgeting and financial acumen

  • Experience in effectively and confidently interacting with senior executives

  • Reporting and Analysis experience – especially with dashboards

  • Bachelor’s degree or equivalent experience

  • Proficiency in Microsoft Word, Excel, SharePoint, and PowerPoint

  • Experience with eBilling and/or contract management systems is a plus

  • Strong verbal and written communication skills, with fluency in written and spoken English

  • Excellent planning and organizational skills, time management, analytical and problem-solving skills

  • Good interpersonal skills, customer service orientation and demonstrated ability to establish effective working relationships; works well in team environment

  • Highest integrity and demonstrated ability to handle confidential information

  • Active learner and strategic thinker with a continuous improvement mindset

  • High level of initiative, motivation and enthusiasm
