Primary Function of Position:


The Contract Administrator will perform a full spectrum of contracts administration tasks including preparing and reviewing common terms and conditions, service contract renewals, collecting and preparing tender documentation, drafting letters and documents as well as arranging translation. Communicating directly with customers to negotiate general terms and conditions. Performing routine administrative duties in support of specific and on-going departmental projects. Maintaining the contract administration filing systems/databases.


Roles and Responsibilities:


  • Draft simple letters and contracts based on established templates (service renewal addendums, loaners, training, proctoring, consulting, sponsoring, NDA and other miscellaneous agreements)
  • Analyze, interpret, and negotiate contractual provisions as necessary and to interact directly with Intuitive Surgical’s customers
  • Work closely with Intuitive Surgical’s Legal, Sales, Field Service, Customer Service, Accounting, and Logistics teams on the system sales processes and service renewals
  • Enter and maintain service contracts for released products in the SAP Database
  • Process service contract billings for customers and distributors
  • Ensure all applicable data is loaded and maintained in the contract administration databases
  • Assist with maintenance of template forms and alternative clause, tender package library
  • Provide translation assistance or coordinate with translation providers for various contracts and tenders
  • Support on specific and on-going departmental projects
  • Draft tender submission documentation and collect tender documents from internal and external stakeholders and authorities

Required Knowledge, Skills, and Experience:


  • Bachelor’s degree (in law, business administration, political science or related discipline /paralegal certificate a plus)
  • Minimum 2 years of prior experience as contract administrator or paralegal in medical device/pharmaceutical sector
  • German and English mandatory (any other language such as French or Dutch language is of advantage)
  • Detail oriented, organized and able to function in a fast paced environment
  • Knowledge of general contracting terms and language
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities Proficient MS Office (Word, Excel, PowerPoint) Outlook. Proficiency/experience with SAP and SAP-based contract management systems is of advantage
