Main Responsibilities
Performance of secretarial, clerical, and administrative duties for specific managers and their departments:
- Scheduling of appointments, meetings & booking rooms
- Support during/for meeting (Zoom, catering etc)
- Agenda management, pro-actively resolving scheduling conflicts
- Booking travels & maintaining expense reports
- Managing general correspondence
- Registration and preparation for site visitors
- Support in on- & offboarding of staff
- Document collection, editing, preparing & filing as required
- Processing quotes & invoices, maintaining financial records
- Follows up on relevant issues and informs manager of status.
- MS Office support, like creating and maintaining of distribution lists, assisting in SharePoint updates
- Updating Intranet & SharePoint sites
- Scheduling site meetings & virtual sessions
- Supporting virtual sessions (e.g. recording, minutes, etc.)
- Sending standardized communication mails
- Updating info boards on site
- Maintaining media databases
- Sorting & filing of documents
- Commercial Education (KV)
- 0 - 3 years of administrative work experience
- Very good verbal and written German and English communication
- Well organized and structured method of work
- Proactive and strong communicator
- Highly committed personality, ability to deal with confidential information
- Very good command of MS-Office products, IT-literate, ideally SAP and/or SharePoint knowledge
