- Internationally operating, pharmaceutical company|Temporary assignment for the next 12 months
Our client, an internationally renowned Pharmaceutical company is recruiting. On its behalf we are now looking for a Administrative Assistant (m/f/d) available immediately for Zug area, to join an international team for a period of 12 months.
Depending on the selected candidate’s performance and motivation, the possibility of an extension or a permanent take over.
Job Description
The Administrative Assistant (m/f/d) provides all-around high-quality administrative support to the teams, acts as a competent proactive and reliable support to Managers’ daily activities by carrying out the following task areas:
- Organizes inter-functional and external meetings
- Manages and maintains electronic diaries
- Establishes and maintains efficient office systems, e.g. correspondence management, filing, reporting etc.
- Liaises and co-ordinates with other administration staff in the affiliate and whenever necessary region
- Supports administrative tasks related to new hires/termination
- Interface function between internal and external stakeholders, especially for IT/Security
- Ensures a smooth communication between the teams
- Ensures smooth execution of all administrative tasks and responsibilities as well as issue resolution
- Produces high quality documents, presentations, briefing papers, spreadsheets, and reports
- Carries out background research and presents findings to the department or managers
- Operational management (ESE tool management, vendor management, logistic around events, maintaining contract systems, repository and other arrangement as per business needs
- Contributes to Company alignment to national law requirements and internal/Corporate procedures and policies
In order to be considered for the role, the selected candidate must have:
- Successfully completed commercial apprenticeship or equivalent
- Minimum 3-5 years’ working experience within a similar role
- Previous experience within the Biotech/Pharma environment would be beneficial
- Experienced user in MS Office products, especially advanced in Power Point and Excel
- Solid German skills and fluent English skills are required
- Any additional European language (Italian, French) would be a plus
- Diligent with strong attention to detail
- Excellent communication skills, ability to communicate at all levels of the organization
- Problem solver, ability to analyse problem and suggest best possible solution
- Ability to prioritize and work efficiently under pressure
- Excellent time management and organizational skills
- Working as part of a team to ensure administrative needs are met throughout the organization
