PLEASE NOTE: This position is based in our Swiss HQ in Mendrisio, Switzerland, just 7km over the border from Como, Italy. Mendrisio is easily commutable from Como, Varese or Lugano, and Cloud Academy provides the train ticket for you! This role will be required to work in the office three days per week, and can work remotely from home the other two days per week.

Job Description

We are looking for an amazing Office Coordinator who will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness and efficiency, and make a fundamental contribution to the success of our company operations. The Office Coordinator will manage administrative procedures and inventory control within the office, provide assistance to the office staff (80 people and counting!), and support in the organization of large office and company operations, having the chance to turn the theory of our company culture into practice. We are looking for a bilingual (English and Italian), energetic professional with skin in the game who is able to help our business run like a well-oiled machine. The ideal candidate is experienced in handling a wide range of administrative, operational and executive support-related tasks and able to work independently with little or no supervision. We’d love to find someone who is extremely proactive, detail-oriented, well-organized, flexible and enjoys the challenges of supporting an office of diverse people.

Responsibilities
  • Responsible for managing office services by ensuring office operations and procedures are organized and maintained, correspondences are controlled, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
  • Point person for maintenance, errands, mailing, shipping, purchasing supplies and equipment
  • Support in organizing office and company operations
  • Coordinating domestic and international travel, including flight and hotel reservations
  • Supporting the onboarding and offboarding of the office staff
  • Manage all office equipment and provide general support to visitors
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Maintain a safe and secure working environment
  • Ensure security, integrity and confidentiality of data
Qualifications
  • 2+ years of hands-on experience working in office management, administrative or assistant roles in a fast-paced environment
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Willingness to engage proactively with a variety of organizational tasks
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Knowledge of clerical practices and procedures
  • Computer skills and knowledge of office software packages
  • Fluent in both English and Italian
