To strengthen our team in Zurich, we are seeking a highly motivated

Office Manager and HR Support (80-100%)

The ideal candidate is a knowledgeable Office Manager with experience in assistance tasks as well as HR administration, available to work either full time or part-time (80%) in a hybrid model (office presence and home-office can be alternated to suit individual and business needs). The onboarding phase should ideally take place in November 2021 or earlier.

What You’ll Do:

Office Management

  • Line Manager of office assistant
  • Lead weekly Zurich Management Meeting (with HR Partner and Site Manager)
  • Create and maintain office policies, regulations and handbook in coordination with HR
  • Maintain filing system and legal archive
  • Participation in regular Office Manager calls
  • Management of time/vacation logging system and coordination with payroll

HR

  • Payroll management in cooperation with our external payroll company, incl. coordination with the corporate Accounting
  • Handling of pension fund, social welfare, insurances, taxes, etc.
  • Management of time/vacation system and coordination with payroll
  • Employment contracts, certificates, letters of references and other personnel documents, in cooperation with the Head of HR EMEA
  • Terminations (process, documentation)
  • Labor law topics (incl. contact with legal advisors as needed)
  • Work permit process for non-Schengen employees, A1 certifications for business trips and similar documentation
  • Help with onboarding of new employees in coordination with line manager and ’buddy’
  • Manage recruitments of (junior) positions in Zurich and potentially in other EMEA countries
  • Support the Head of HR EMEA on ad-hoc topics and projects for other countries in EMEA


What You Bring:

  • Commercial degree or education in Human Resources.
  • 3+ years work experience as Office Manager or Team Assistant, ideally with HR admin/HR operations tasks.
  • Strong interpersonal, consulting, and listening skills.
  • Proficient knowledge of MS Office.
  • High reliability and ability to set priorities and to multitask.
  • Accurate, detail-oriented, motivated, resilient, initiative and autonomous working structure.
  • Languages: Fluency in both German and English is a must.
