Reporting directly to the Chief of Staff, we are looking for an Office Manager for a 6 months temporary position (maternity leave replacement) to assist in the coordination of the premises and business activities.

Responsibilities
  • Assist the COS in tasks related to the coordination of the premises and business activities
  • Take the overall responsibility for the management of the premises and the comfort of employees in the offices (Replenishment of office equipment, maintenance of the various facilities etc)
  • Welcoming guests for business meetings
  • Organizing internal meeting rooms or events, external events for employees and company vehicles
  • Assisting with the incoming and outgoing mail (sorting, distribution, drop-off and pick-up).
  • Answering incoming calls and the office intercom
  • Organization of hotel bookings and travel arrangements
  • Organization and implementation of induction programmes for new employees: Managing onboarding and offboarding procedures
  • Management of the office parking allocation
  • Communication to staff at the request of management
  • Be prepared to carry out any other assignment as ordered by the COS and according to the specific needs of the company
  • Various other administrative tasks

Requirements
  • Tertiary education finishing certificate in Business or Hospitality, or equivalent
  • Excellent communication skills in French and English, additional German or Italian would be highly desirable but not mandatory
  • Open-minded, self-starter and can-do approach who thrives with a high degree of autonomy
  • Eager to learn and assist colleagues with their day-to-day
