In order to continue our growth story, we are looking for an experienced

Office Manager (100%).

In this newly created role, you are on a mission to build world-class people operations for HeiQ and will report directly to the VP People Operations.

Your Responsibilities

In this exciting new role, you will be looking after the administration of HeiQ’s head office on a day-to-day basis, report to the Chief of Staff, and support the international leadership team.

  • Organizing office operations, designs and maintains office administrative systems.
  • Organizing company events, schedules group meetings, business travel, and accommodations.
  • Managing office budget, office supplies inventory and places orders as necessary, liaises with suppliers.
  • Maintaining calendars, preparing letters, reports, and presentations for the senior leadership team.
  • Organizing induction programs for new employees.
  • Greeting visitors, answering and directing phone calls.
  • Receiving and sorting incoming mail and deliveries, and manages outgoing mail.
  • Assisting with office planning and office move, and with managing and maintaining office infrastructure.
  • Identifying opportunities for office management improvements, and designing and implementing new systems.

You are

  • A digital native, competent systems user, and loving the work with tools like Excel, Miro, Confluence, Outlook, or the CRM.
  • Fully professionally proficient in English (mandatory for all employees working at HeiQ - additional languages are advantageous).

You bring

  • Minimum 4 years experience as an office/administration manager and team assistant.
  • Excellent interpersonal and communication skills.
  • Comfort advising working with senior management.
  • Experience dealing with Swiss authorities is a must.
  • Organizational and time management skills.
  • Strong problem-solving skills.
  • Analytical abilities, budgeting skills, attention to detail.
