Order Processing Specialist

About The Role

Under the guidance of the Customer Service Manager, the Order Processing Specialist will ensure operational excellence in order processing from order receipt to order release to the warehouse, dispatching invoice and export documentation. He/She will contribute to the Customer Service mission of delighting customers by managing orders with high service quality and flawless process execution, aiming at optimizing costs related to order management, and supporting the Demand Planning department for data maintenance, recurring tool updates and Oracle data entry.

What You’ll Do In The Role
  • Receive all incoming orders (EDI, web portal based, e-mail) and check accuracy of all forms: MOQ, pricing, discount, MOV, delivery method…
  • Inform management for incomplete / noncompliant orders
  • Create orders in Oracle in adherence to company guidelines and processes, and within time limits
  • Reviews orders for stock availability and communicates with appropriate team to resolve any shortages (Sales, Demand Planning, Supply Planning…)
  • Ensure proper order release to the warehouse, in accordance with internal guidelines
  • Send order confirmation to customer
  • Follow-up open orders / backlog on daily basis
  • Resolve issues and/or drive hold releases in accurate and timely manner to ensure delivery commitments are met
  • Prepare export document when applicable
  • Dispatch invoices to customer after order shipment
  • Ensure compliance to all operating procedures, time frame and quality so that business runs smoothly
  • Maintain an in-depth knowledge of products, pricing and services offered by the company
  • Establish, maintain, and update files, records, and other documents
  • Manage all communication with team members

  • Must demonstrate typing skills
  • Mastering of Oracle or other ERP
  • Proficient in Microsoft Office, particularly Excel
  • Experience with EDI as a user is a plus
  • Fluent in English (spoken and written)
