Operate and maintain the pay related processes, benefits administration and time track administration for European countries where we have employees (w/o France), ensuring that the monthly and supplementary (i.e. bonus) payrolls are administered, processed accurately and paid on time, and according to country legislations in the frame of partnerships with local payroll providers.

Act as the main contact for all questions regarding payroll, benefits and time management.

ABOUT THE POSITION

This position is a maternity leave cover and is an opportunity to manage Payroll & Benefits activities across different European countries.

Operate and maintain the pay related processes, benefits administration and time track administration for European countries where are based our employees, ensuring that the monthly and supplementary (i.e. bonus) payrolls are administered, processed accurately and paid on time, and according to country legislations in the frame of partnerships with local payroll providers.

Act as the main contact for all questions regarding payroll, benefits and time management.

HOW YOU’LL MAKE A DIFFERENCE

Payroll & Benefits:

  • Acquire and maintain through payroll local providers and HR local advisors, up to date knowledge in pay and benefit legislations for Europe (For instance : Switzerland, Italy, Finland, Denmark, Poland, Czech Republic, UK, Germany, Austria, Spain, Netherlands, and Ireland).
  • Compile all payroll data from various Columbia sites including but not limited to monthly time sheets, requests for PTO, overtime, salary changes, benefits premiums, change in family status, etc… Ensure accuracy and resolve related issues.
  • Enroll new hires, and process employee terminations, as well as all changes and additions to pay including additional payments, deductions and other elements sending info for the local payroll providers and updating employee files as necessary.
  • Administer Columbia’s multi-site payroll using external providers for actual payroll processing.
  • Submit monthly payroll in a timely manner, review results to confirm accuracy of information, research and resolve all issues, and respond to all payroll questions.
  • When necessary, prepare and provide payroll audits (new hires, leavers, job changes) for various Columbia sites within given deadlines.
  • Ensure a smooth benefit administration for given countries including pension plan, life insurance, medical plans, etc. Ensure that concerned staff is aware of the available plans.

Tax:

  • Coordinate with payroll providers and tax consultants to establish appropriate tax rates for social contributions/costs and income tax withholding.

Accounting:

  • Perform monthly reconciliations with Accounting after each payroll run. Act as liaison between Accounting and payroll providers to ensure accurate G/L and other various reports. On a monthly basis, provide the bonus and holiday accruals to accounting.
  • Ensure payroll related invoices are verified, entered into the appropriate accounting system, authorized and auctioned in a timely manner acting as the point of contact for the accounting team.

HR Director’s support:

  • Provide to HR Director on a monthly base the headcount statistic for Europe based on query extracting data from Workday (HRIS system). Support HR Director to analyze these data and Provide ad hoc studies on headcount if needed.

YOU HAVE

  • From 2-3 years of Payroll experience.
  • Experience of working with international payrolling would be a plus.
  • Ability to work within international environments in coordination with internal/external partners.
  • Very good level computer skills and strong working knowledge of Microsoft Excel required (Vlookup, Pivot table, Index match etc…).
  • Experience working in a US company and multinational environment preferred.

YOU ARE

  • Available for a Fixed Term contract from February 2022 till August 2022.
  • Fluency in English both written and oral.
  • Fluency in other languages is highly desirable.
  • Detail oriented and strong documentation skills.
  • Able to handle multiple tasks simultaneously.
  • Able to meet strict deadlines and work under pressure.
  • Excellent interpersonal and communications skills and the ability to use discretion in dealing with highly confidential and sensitive information.
