What will you do

We are looking for a versatile and highly-organized Program Specialist to perform administrative and project management support duties for senior management. In this role, you will be responsible for scheduling meetings, coordinating internal meetings, kick off and customer events (event management), managing supplier relationships, setting, communicating and maintaining priorities on every project. Additionally, candidate will be asked to take on global project management support working across engineering, marketing teams and business leadership teams from Switzerland with NA, SA, Europe, Africa and Asia.

How will you do it

  • Performs project management support responsibilities by working across business units and functions

  • Tracking progress and delivering progress reports

  • Provides support and preparing agendas for senior-level external and internal meetings

  • Leads and supports activities for visiting VIP’s to the office

  • Creates drafts and edits worksheets and presentations (using Excel and PowerPoint) for leadership readouts

  • Plans and Books Travel including compilation and submission of expense reporting for senior leaders

  • Scheduling meetings & conference calls

  • Performs, organizes, and continuously updates paper and electronic filing systems to ensure company is in compliance with relevant regulations

  • Supports advanced calculations and maintains specialized and comprehensive records and files to provide timely and effective clerical support to the assigned group of Senior Leaders

  • Other Office support activities as needed

  • Keep track of Leadership team / relevant executive’s due dates for projects / milestones and plan for completion of these

  • Provide any other relevant assistance as may be required (including but not limited to back-up for receptionist)

What we look for

Required:

  • Office and Admin Support experience in large and multi-national corporate environment

  • Proven experience with providing support to Senior Leaders

  • Excellent interpersonal and communication skills (written and verbal). Writing, editing, proofreading, layout and design, professional printing / publishing skills

  • Effectively Fluent in spoken and written English and German

  • Strong communication skills and able to interface with CEO and executive committee members visiting the EMEA Neuhausen HQ offices.

  • Strong customer service with a high attention to detail

  • Proper handling of highly confidential information

  • Knowledge of social media platforms.

Preferred:

  • Experience with travel arrangements, meeting planning & coordination
