Dow’s Feedstocks & Commodities Business has an opening for an Executive Administrative Assistant to the Business Vice President. You are responsible for office administration, management and leadership of administrative processes and systems to support the global Business Vice President.

Are you a problem solver with organizational talent and a collaborative mindset? In this role, you will provide professional administrative support, identifying, anticipating and addressing needs of senior leadership. You find solutions to daily scheduling challenges, and you collaborate at the highest professional standard with other senior administrative professionals, both internal and external to Dow. In this role you are entrusted with sensitive and confidential information. You exercise absolute discretion, and you maintain confidentiality with all team members.

You are good at:
  • Providing full support to the global Vice President: calendaring, meeting and travel management, development of presentations etc. Includes effective planning, meeting preparation, and adjustments to accommodate changing plans.
  • Exercising judgement to determine and respond to internal and external correspondence that does not require the Leader’s personal attention. Takes appropriate actions, also in the absence of the Leader.
  • Handling travel management - domestic, international, and corporate aviation - including visas, etc. Travel expense reporting (TER), able to address discrepancies, and provide coaching on proper procedure, consistent with company policy and Dow’s Code of Business Conduct.
  • Owning records management, Delegation of Authority, invoices etc.
  • Assisting team members with every-day IT matters. Staying up to date and keeping the team informed to ensure effectiveness.
  • Collaborating with others within the company to overcome challenges. Being approachable, contributing to a positive and inclusive work environment.
  • Serving as a role model for other administrative personnel by leveraging best practices, coaching, and providing guidance and feedback.
  • Required qualifications
  • Minimum five years of experience in senior administrative support roles in an international environment
  • Apprenticeship in business administration, or bachelor’s degree, or similar education
  • Your skills, knowledge, and abilities include:
  • Strong organizational skills with expressed attention to detail and sound judgement
  • High level of self-motivation and resilience
  • Excellent prioritization skills to meet deadlines in a fast-changing environment. Ability to adapt to changes and handle ambiguity
  • Discrete, trustworthy individual with highest work ethics; operates with a limited degree of supervision through empowerment
  • Problem solver who constantly strives to improve and to reduce complexity
  • Clear and concise written and verbal communication in English and German
  • Ability to effectively communicate and collaborate with a diverse range of people
  • Digital proficiency. Stays current on new technology, confident to incorporate new technology to ensure minimal disruptions to productivity. Shares best practices
  • Experienced MS Office user (Outlook, PowerPoint, Excel, Word, MS Teams etc.)
  • Experienced user of other Dow systems and processes, such as File Share Manager, Share Point, Delegation of Authority, Diamond Systems, SAP etc.), or strong motivation and capacity to learn these tools fast
