MISSION

Provide a high level of service and support to the internal and external customers as a member of our front and back-office team.

RESPONSIBILITIES

  • Process and follow-up Customer Orders including creation, modification, and cancellation.
  • Create proformas corresponding to final customer offers on request from the Front Office.
  • Create and request the necessary documents (certificates to external organizations, shipping, and export documentation, …).
  • Participate in the continuous improvement of the Front and Back Office.
  • Various administrative tasks such as filing and archiving.
  • Process and follow-up requests for quotations from internal and external customers.
  • Ensure cross-functional communication with Supply Chain and Technical Support to provide a high level of service to our customers.
  • Communicate with customers to know / understand and possibly anticipate their needs.
  • Maintain customer master data, including discount & pricing in ERP system.
  • Maintain good relationships with carriers and forwarders to obtain the best quality services.
  • Ensure Customer Order and forwarder/carriers invoicing. Establish and distribute credit and debit notes as required.
  • Manage and monitor "special" payments: documentary credits and advance payments.
  • Prepare and transmit distributors’ commission statements to the accounting department.

PROFILE

  • CFC in Business and Commerce or equivalent; Specialist certificate in international trade (import/export) a plus.
  • Min 5 years of experience in Customer Service, ideally in both front and back office.
  • Fluent in English and French required. Other additional languages a plus.
  • Proficiency with MS-Office tools, ERP & CRM knowledge required.
  • Customer oriented mindset with good & friendly communication skills.
  • Rational, methodical approach and ability to identify business issues and define workable solutions.
