Provide secretarial, administrative and project specific support to Regional Team of Eastern Europe, Middle East, and Africa region.

Responsibilities:

  • Provide administrative support to Regional Leads of Market Access, Policy & Communications, Legal, EMIAS (Emerging Markets Innovative Access Studio) Team and members of the Regional team as necessary, including diary management, correspondence, document production (presentations, org charts, emails, letters, etc.) using appropriate software packages (e.g. MS Outlook, Word for Windows, PowerPoint and Excel), general office administration and office management, and ad hoc projects.

  • Liaise with the EEMEA support functions and other stakeholders to ensure alignment and shared co-ordination of joint projects.

  • Conduct business processes that support the function using appropriate software packages, e.g. contract management, expenses, PO raising, invoicing, etc.

  • Arrange/book travel, transport, transfers, accommodation, meeting facilities, conferences, global videoconferences and teleconferences, events, registrations; produce complex itineraries for all trips.

  • Arrange and coordinate teleconferences and internal/external meetings (small and large); book meeting rooms, equipment, hospitality, etc.

  • Welcome visitors; arrange transport, accommodation, itineraries and hospitality for visitors, as required.

  • Gather materials required for meetings, as required.

  • Attend and take notes at confidential internal and external meetings.

  • Work with other members of the Regional team to coordinate responsibilities and key projects e.g. budget management, project charter tracking, team calendar

  • Proactively contribute to business processes through administrative and organizational activities as required, including seeking to improve their effectiveness and efficiency.

  • Act as focus for Records Management (Audit) and archiving of business documentation.

  • Conduct all activities in compliance with company policies and standard operating procedures.

  • Collaborate with other internal stakeholders such as Finance, Legal and Procurement to ensure appropriate follow up of internal processes related to Regional projects

  • Travel Management (including visas)

  • Internal & External Meetings co-ordination

  • Follow up on action items during weekly Leadership Meetings

  • Regional Calendar Planning

  • Track on-boarding requirements for all new members of the Regional Team

  • Congress Registrations

  • Manage SharePoint and Teams Sites and Distribution Lists

Qualifications:

Education and Skills Required:

  • GCSE/Secondary, Academic Degree Preferred

Significant administrative experience, including supporting executives required:

  • High prioritization & working through complex situations

  • Demonstrated IT Competent - Excellent knowledge of MS Outlook, Word for Windows, PowerPoint and Excel.

  • Experience of working within a complex organization

  • Very strong prioritization and organizational skills.

  • Ability to work under pressure and with limited direction on a day-to-day basis.

  • Ability to show own initiative, logical thinking and creative problem solving in response to day-to-day situations.

  • Strong written and verbal communication; strong interpersonal skills.

  • Ethics and integrity, awareness of compliance requirements and maintaining confidentiality as normal way of working.

Skills/Knowledge Preferred:

  • Knowledge of EEMEA Regional organization.
