Job content

Duties:

  • Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments
  • Manage and prepare correspondence, communications, presentations and other documents
  • Receive and interact with incoming visitors. Support Global Regulatory Affairs Leadership Team members during their visits to Bern or with assigned tasks
  • Maintain departmental org charts and Outlook contact lists and manage information on the GRA iNet (e.g. GRA Calendar, GRA distribution lists and presence sheet)
  • Travel arrangements (booking, travel logistics, and preparing individual travel dossiers for each trip). This also includes anticipating required assistance and useful information like hotel information, meeting information, key contact details
  • Support planning, coordination and running of Global Regulatory Affairs Leadership Team meetings and GRALT workshops
  • Prepare and coordinate agendas, take minutes, track follow-up actions from meetings, and maintain action logs. Organize all other meeting relevant material. Ensure technical setup
  • Responsible for the documentation of all meeting related documents on SharePoint or other appropriate systems: Prepare, distribute, and archive GRALT specific documentation and information; manage structure and content specific file management drives, e.g. SharePoint
  • Plan and organize venue of attendees / speakers
  • Obtain information on facilities of venue and costs – generate and track budget overview
  • Send meeting request to participants, follow-up and tracking of participation
  • Arrange for required technical and office equipment, and teleconferences
  • Administrative support of GRA Bern site staff

Qualifications:

  • Education: Business administration , Commercial degree or equivalent
  • Several years experience in international environment, supporting a global function, as a personal/executive assistant
  • Several years of experience as an Executive Assistant in an international environment reporting directly to senior management
  • Flexibility, ability to work under pressure, work outside office hours
  • Excellent command of English (native speaker preferred), spoken and written, good command of German spoken and written, additional languages are an advantage
  • Proficient in MS office, Attention to detail, timely delivery and good sense of urgency/business relevance
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Strong communication skills
  • Strong work management including planning, prioritizing and organizing tasks to effectively meet deadlines and achieve specific results
  • Friendly and professional demeanor
