This position is located in the Staff Counsellor’s Office, Human Resources Management Service, Division of Administration, United Nations Office at Geneva. The incumbent reports to the Staff Counsellor.

Responsibilities
Under the supervision of the Staff Counsellor, the incumbent :

  • Provides logistical support to the Staff Counsellor’s Office and attends meetings, convenes minutes, monitors follow-up on agreed actions. Researches information on psychosocial topics on different resources to keep abreast of the latest developments on staff well-being and mental health. Sets up and maintains files of rules, regulations, administrative instructions, and other related documentation relevant to the Staff Counsellor’s Office and related to staff well-being and mental health. Creates and updates Standard Operating Procedures for the Office. Keeps the documentation of psychosocial networks and resources up to date. Keeps track of and provides statistics for different purposes (i.e. yearly reports, audits of the service, reporting to clients, etc.).
  • Acts as the point of contact for incoming requests from staff members, retirees or family members and provides relevant information and/or guides them to appropriate resources. Responds to general inquiries from staff members.
  • Provides administrative support and follow-up in challenging situations (illness, death and for exceptional circumstances). Prepares internal death notices, sends condolence letter to families. Under the guidance of the Staff Counsellor and in collaboration with HR partners, liaises with families of staff, social services, hospitals, funeral homes, Embassies and Consulates. Coordinates the administrative and HR support for death while in service. Accompanies, when requested, the Staff Counsellor in visits to hospitals, ceremonies, and home visits. Supports HR partners in processing cases of disability, death-in-service entitlements, and paperwork.
  • Supports the Staff Counsellor in identifying and assessing training needs on a variety of topics related to stress management and resilience building. Provides supports in organizing and developing programs in collaboration with the Staff Counsellor in different social and psychological areas (resilience, mindfulness, stress, mental health), including proposals with cost estimate for such programs. Facilitates the onboarding of external service providers/trainers.
  • Occasionally will be required to participate in delivering virtual, hybrid or in-person webinars and workshops in French and in English under the guidance of the Staff Counsellor.
  • When required by the Staff Counsellor, prepares and/or uploads materials on social media for dissemination.
Contributes to the UN working environment by promoting the well-being of all staff members through internal communication, campaigns, events, and workshops offered by the Staff Counsellor’s team. Liaises with various Services within and outside the duty station as necessary.
  • Develops and maintains a supportive relationship with the Family Focal Point (FFP) group. Keeps contact details up to date, arranges meetings, sends research and training materials for FFPs to read and discuss during meetings and specialized training sessions.
  • Is responsible for the administrative management of files related to the Staff Benevolent Fund (opening of files, transmission of requests, preparation of bank transfer orders, collection of signatures of members).
  • May provide guidance/training to less experienced staff.
  • Performs other duties as required.

Education

Completion of secondary school or its equivalent commercial school is required.

Work Experience

A minimum of seven (7) years’ experience, in a client-oriented field, in administration, human resources, staff support, psychology, social services or a related field is required.

Experience in developing and delivering training (including online) is desirable.

Relevant experience gained in an international organization is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English and French is required.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
