You will work closely with the Team Leads of our Oncology Discovery, Large Molecules, and Data & Analytics departments and their respective teams to coordinate meetings, events, and provide a variety of administrative tasks. You will also act as local Business Contact person for our Accounts Payable remote support.Your TeamThis position will report to the local Site Operations, which acts as an enabling function across our R&D teams, the site leadership team, the infrastructure among other services. This team is composed of individuals with diverse backgrounds and competencies who have a passion for a dynamic environment, customer focus and continuous improvement. Our team mission is to effectively support the research organization so that it can focus on its business competencies in developing novel antibody therapeutics. You will also work closely together with a pool of administrative colleagues across sites e.g. for cross-site events and initiatives.The Purpose of your RoleAs a Team Administrative Assistant, you will play a key role in supporting the business functions with a variety of tasks, such as
  • Calendar Management
    • Manage the scheduling of Department and Team Meetings (onsite, offsite, virtual)
    • Schedule and support external candidate interviews (cross functional/global attendees)
  • Meeting and Event Management
    • Lead the coordination & execution of internal standing team meetings
    • Arrange all meeting needs (catering, meeting materials, special room set up, etc.) prior and during the event
    • Lead the coordination & execution of team’s offsite and onsite meetings and events
    • Organize and coordinate Site Townhall meetings
  • Team Support
    • Manage administrative components and logistics of onboarding (welcome events, manage devices)
    • Manage and plan team building events, workshops
    • Organizing team travel and overseas travel arrangements via Concur
    • Act as deputy for your Administrative Assistant colleagues during their absence
    • Managing the headcount reporting system as an interface to Finance
  • Business Contact Person (BCP) for Accounts Payable (AP)
    • Close collaboration with the AP support team from our Roche Services and Solution (RSS) remote support
    • Provide accounting information for non-PO invoices and their approval in SAP
    • Report payroll tax relevant transactions to the Payroll department
    • Verify and approve the weekly invoice payment workflow
You bring the following capabilities, mindset, behaviors, and experience:Skills/Competencies
  • Digitally literate in Microsoft Office applications and G-Suite
  • Basic knowledge in accounting and SAP is an advantage
  • Excellent command (spoken and written) of English and German
  • Experience working in diverse and complex organizational cultures and structures and confident in dealing with senior leaders
  • Skilled and knowledgeable in all available tech mtg platforms in room and virtual, (in room tech, google meets, Zoom, global webcasts, VCs)
  • Ability to manage complex scheduling, in multiple time zones, various levels of internal and external stakeholder management
  • Ability to draft email communications on behalf of manager, team, department, leader, etc
  • Ability to interact in an agile environment with flexibility, empowerment, and authenticity
  • Independently lead the planning & execution of meetings, workshops, events
  • Ability to partner with manager or assigned lead to design agenda & manage the distribution of all meeting materials
