Temporary Operations Assistant, Novartis, Basel, Switzerland

On this role you will be responsible for handling all organizational and administrative details of all projects. Has a key role in projects related to administrative competencies and office management works under close supervision, assists in the delivery of a full range of services to various units.

This role is limited for 6 months.

This is part time job (60% -80%)

Your key responsibilities:

Your responsibilities include, but are not limited to:
  • Supports basic administrative projects by ad-hoc attendance.
  • Organize & supervise other office activities (recycling, renovations, event planning etc.)
  • General administrative support: internal and external correspondence scheduling of internal and external meetings and events calendar management organization of travels (flight, accommodation, visa)
  • Organization of visitors program candidate interviews travel expenses and invoices managing specific data bases
  • General operational support: coordination of demanding processes, e.g. target/actual comparisons budget tracking purchase orders (eShop) checking of invoices
  • Be an integral member of the Admin Ops Team

Minimum Requirements

What you’ll bring to the role:
  • Commercial training or University degree
  • Several years of working in administration, operations or research / drug discovery environment
  • Excellent team player, used to share tasks and information within a team
  • Strong organization skills, attention to detail, along with very good verbal and written communication skills, creative problem-solving capabilities
  • Good knowledge of MS Office with a strong expertise in Outlook, MS Teams and Excel. Aptitude for learning new software and tools
  • Excellent knowledge of Eshop would be a real asset
  • Excellent time management, prioritization, planning and customer focus
  • Enthusiastic, dynamic, positive approach
  • Good written and spoken English, knowledge of other languages (e.g. German/French) advantageous
