For Lonza AG in Basel we are looking for the finance Leadership team an administrative assistant 80-100 %. A highly visible role requiring uppermost level of professionalism, confidentiality, discretion, agility, accuracy and flexibility.Key Responsibilities
  • Receives, screens and directs incoming calls, visitors, mail and e-mail on behalf of the Finance Leadership Team.
  • Handles details of a highly confidential and critical nature using tact and diplomacy.
  • Maintains files, records, calendars and diaries: arranges business travel, and tracks and processes expenses and relevant invoices.
  • Uses own independent judgment and discretion to perform other administrative duties within generally defined policies and practices and supports the LT
  • Sets up SharePoint pages and administrates them.
  • Performs other duties as assigned.
  • Organizes events, travel, workshops and various meetings (internal, external, local and international) for the Leadership Team
  • Potential deputy of Executive Assistant CFO in case of absences and special projects
  • A-level/high school diploma or commercial apprenticeship.
  • Experience of supporting a senior executive
  • Fluent in English and German - first class communication skills ? written and oral.
  • Able to multi-task and deal with changing priorities, deadlines and a demanding workload, deliver highly accurate and timely work under pressure
  • Experience and ability to manage calendars and meetings across different time zones
  • Willingness to work in an agile environment within a large and complex matrix organization
  • Good team player with a ’Can-do’ attitude and high motivation
  • Advanced proficiency in Outlook, Word, PowerPoint, Excel and understanding of SAP, Skype, SMS, Lync and SharePoint.
  • Pharma/Life Science background and knowledge preferred
