The position
To further strengthen our Product Lines & Market Solutions department of our Energy & Equipment division, we are currently looking for an “Administrative Assistant”.
In this role, you will assist the Vice President, Product Lines & Market Solutions, Energy Sensing & Controls with all administrative and controlling tasks and you will support the entire Energy Sensing & Controls team in Fribourg with travel administration tasks.
The Main Responsibilities For This Role Are
- Administration of our time management system for planning and reporting as well as managing projects user rights in collaboration with our Project Managers
- Preparation of purchase orders and purchase requisitions (for contractors and services) in our ERP (SAP)
- Coordination of new employees on-boarding as well as support and assistance to our onsite contractors
- Administration of training activities, including organization and invoices follow-up
- Organization of monthly and off-sites department meetings
- Preparation and submission of cost centers’ budget and quarterly forecasts as well as establishment of various reports
- Administrative assistance for travel and coordination of clients’ visits
- Backup to other administrative assistants in the organization
- Commercial Degree and at least 2-3 years of successful experience in a similar position, preferably in an international environment
- Customer service orientation, strong organizational skills and ability to multitask
- Strong interpersonal skills to deal with various stakeholders and external partners
- Autonomous, curious and proactive
- Proficiency with MS Office and good command of SAP
- Fluent in French with very good command of English
- Excellent written and communication skills
