About This Opportunity

Your primary mission as a Management Assistant is to provide high level administrative support to the EMEA Leadership team under minimal supervision of the Manager, Executive Support.

We are looking for the next generation of Executive support. Which focuses on how we can work smarter and more efficient / effective. The traditional administrative tasks are the basis for success. Outside of that we are looking for a person that likes to give a stellar support with a vision and voice to our team.

You will be the one to organize and maintain the executive’s schedule where needed and assist them by performing a variety of administrative tasks but also proactively work on communication, process, tool usage, drive digitalization as well as organize company/functional events.

To be successful in this role, you should be well-organized and have good time-management skills, a technical affinity and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive (ELT) members.

In this role, you will…
  • Provide proactive support to the EMEA Leadership Team members (ELT) with day-to-day schedule management, travel and visa arrangements and information requests by utilizing available tools
  • Manage where needed executive’s calendars and set up meetings, including drafting meeting agendas, taking minutes and follow up actions
  • Manage information flow in a timely and accurate manner
  • Manage administrative activities related to processing of purchase requisition, travel expenses, contract management or employee reimbursements
  • Act as the point of contact among executives, employees, clients and other external partners
  • Closely collaborate with cross functional and cross regional departments including but - not limited to - Corporate Communications, HR, Office Mgmt, Procurement
  • Work closely with the team and ELT members to maintain or build excising or new SharePoint sides as well as other internal work or communication tools.
  • Support and/or Co-Create Engagement strategies eg Lunch & Learn sessions, Get Together events, New Hire welcome activities, video & communication whether in person or virtually.
  • Conduct research and prepare presentations or reports as assigned
  • Create & Format information for internal and external communication – videos, memos, emails, presentations, reports
  • Support the organization of internal and external meetings and events eg Town Halls, department all hands, meet the Leadership
  • Support company newsletters, prizes, charity events, and celebrations
In this role, you’ll need …
  • 2-4 years administrative experience in a fast-paced environment
  • Critical thinking skills
  • Discretion and confidentiality
  • Technology skills: ability to learn new digital tools quickly
  • A pre would be video editing skills
  • A team player who is proactive, flexible, results-oriented, and comfortable in a rapidly changing environment.
  • Excellent communication skills both written and oral (in English, another European language is a plus)
  • Excellent interpersonal communication
  • Strong writing skills
  • High level of time-management skills
  • Ability to juggle multiple projects at a time, plan and prioritize
  • Ability to work independently and under the pressure of deadlines
  • Excellent (MS) Office knowledge (Outlook, Power Point, Word, Office 356, Excel, Stream, Teams, Zoom, SAP, Aravo)
