  • take care of deliveries (couriers, mail etc.)
  • manage office supplies
  • managing office space, workplace
  • make sure Holcim travel policy is closely followed by travelers
  • manage applications for credit cards
  • inform and update employees about travel policy, H&S and Security topics. Coordination role for all 3 entities.
  • maintaining relationships with landlord (rent contract)
  • maintaining relationships with Service companies: (e.g. cleaning, printers, coffee machines, office appliances, etc.)
  • procurement of Catering, Office supplies, furniture
  • maintaining the access control system for the office
  • support in administrative and operational activities
  • travel management for Zurcih Office employees (through travel agency)
Reception
  • answer incoming telephone calls and receive visitors
  • bookings for guests & visitors: Hotels, Accommodation, Taxis & Meeting Rooms
  • front desk / hospitality
  • main contact person for office space (maintenance, repairs, renovation, cleaning, plant service, electrician)
  • reserves hotels and temporary housing
  • organize presents for leaving, anniversary, retirement etc.
Internal Communication
  • “being the ear on the ground”: In charge to convey relevant information (news, events, success stories) on a regular basis to Zurich
  • organize events that are linked to communications activities, for example employee photo shooting
  • organize staff meetings
  • company events and celebrations (H&S month, family day)
  • propose CSR/volunteering actions
  • in charge of posting and renewing business information on Boards: Group, Dashboard KPI, H&S
  • monitoring of costs
  • follow up on office budget
  • follow up on travel costs
  • expenses reports for CEO
  • maintain the travel expenses system (SAP Self-Service)
IS & IT And Telecom
  • administer telecom
  • administrate the collaboration tools
Health & Safety
  • animation of the office: awareness actions, communication campaigns, event organization
  • health policy: organize checkup for business travelers and newcomers / employees, optimize work conditions and ergonomics of workstations
  • organizing Sustainability campaigns
  • sharing safety instructions for newcomers
Event Management
  • organize Management Meetings within the set budget
  • put together Meeting/Seminar documentation
  • point of contact for Hotel, Catering etc.
  • manage the logistics for the events
Profile Required
  • Commercial degree
  • 5 + more years’ experience in similar position preferably in international environment
  • Excellent knowledge of Microsoft Office and Google tools
  • Travel know-how
  • Languages: German & English (fluent spoken and written), any other language is a plus
  • Open and resistant personality
  • Able to multitask
  • Very good organizational skills
  • Independence at work
