Facilities Assistant

Our Real Estate and Facilities Management function is responsible for ensuring that the regular occupants as well as the visitors enjoy a flawless experience when using and moving around our headquarter building. The Facilities Assistant is a key pillar of that experience and we are seeking a person who enjoys offering unparalleled customer service and helping to ensure an effective and productive working environment.

Your responsibilities
  • Mobil phone administration including ordering, registering, and issuing of new phones; maintaining mobile phone database ; preparing and launching of onward billing
  • General support for internal customers regarding mobile phone user issues (e.g. types of subscriptions, charges, technical questions) also in cooperation with our IT department
  • Managing the office supplies warehouse and stock of promotional gift items in close collaboration with the procurement function
  • Supporting internal customers with sourcing and ordering of custom-made equipment (e.g. specific workplace equipment, business cards)
  • Focal point and first level support on all issues regarding facility management in co-operation with our in-house technician
  • Support with revising layout plans and organizing relocations
  • Supporting work in the accounting fields such as checking cost center journals, etc.
  • Verifying and processing of external & internal invoices
  • Assisting the head of Real Estate and team with travel, expenses and other administration
Your background
  • Commercial degree or completed office management apprenticeship - proficient in MS Office
  • Ideally native level German language and very good English skills
  • Approx. 5 years’ experience in a comparable facilities management role
  • Proven experience of accounting and budgeting, and reviewing cost centre journals
  • Technical understanding of typical office equipment
  • Good organizational skills
  • Very strong communication skills and excellent customer service orientation
  • Commitment and flexibility - ability to work in a team, willingness to be “hands on” when necessary
