About The Role

We are looking for a capable, proactive, dedicated and service-oriented professional to support in the main role the iptiQ CFO and the iptiQ Finance team. In addition, the incumbent will provide secretarial support to the AM (Asset Management) CFO (capacity required ~ 40%)

In This Role Your Main Responsibilities/tasks Include
  • Provide professional, proactive secretarial and advanced administrative support to the iptiQ CFO and AM CFO
  • Effectively manage the calendar of the iptiQ CFO,other members of iptiQ Finance and the AM CFO. Be the "gatekeeper" of scheduling and meeting availability
  • Prioritize conflicting needs, handle matters expeditiously, proactively and follow through on tasks to successful conclusion
  • Proactive effective email in-box management of the iptiQ CFO and assist on other communication from brief instructions or notes
  • Arrange travel schedules mainly for the iptiQ CFO and AM CFO and also for the iptiQ Finance team whenever needed and in accordance with T&E policy. This includes planning, booking, visas, preparing itineraries and providing all documents for meetings/presentations during travel. Timely preparation and processing of travel expense reimbursement
  • Independently coordinate meetings, including use of tele- and video-conference and organize, as needed, events or conferences, both internal and external to the company, by arranging, amongst others facilities, issuing information and/or invitations support
  • Establish and maintain good relationships with assistants of key internal stakeholders, as well as external partners
  • Work closely and effectively with the iptiQ CFO and iptiQ Finance team to keep them well informed of upcoming commitments and responsibilities, following up appropriately
  • Work closely and deputize other iptiQ assistants during absences
  • Prepare and process any required purchase order requests and assure invoicing gets done in a timely manner using the internal procurement system (MySpend)!
About The Team

iptiQ Finance, part of iptiQ Division, is responsible for performance management, financial reporting, FP&A and cost controlling for the Global Division. We are looking for an energetic and broadly experienced assistant to support this team. This will be an interesting role for anyone who enjoys the variety, challenges and excitement associated with a diversified team role and is excited to be part of a growing organization.

About You
  • 7+ years of experience as assistant
  • Professional, with experience supporting multiple leadership team members
  • Strong organizational skills that reflect ability to perform and prioritize tasks efficiently and with attention to detail
  • A teammate and a self-starter who thinks ahead, is result oriented and strives in a dynamic and professional environment
  • Dependable, discrete, trustworthy and high integrity
  • Very strong interpersonal skills and the ability and desire to build relationships
  • Excellent verbal and written communication skills in English. Good German language skills would be an asset
  • Demonstrated proactive approach to problem-solving, with strong decision-making ability
  • Highly resourceful team-player, able to work effectively with global, multi-cultural team in multiple locations
  • Comfortable working in a fast-paced environment, have the ability to interact with staff at all levels and work effectively in a team environment, representing and adhering to Group Finance’s values and behaviours
  • Proven ability to handle confidential information with discretion, be adaptable to competing demands, comfortable working under deadline pressure and be customer/client oriented
  • Proficient in Microsoft Outlook, Microsoft teams, Word, Power Point and, preferably with internal web-based applications such as SharePoint and MySpend
  • Curious, forward looking, and actively seeking improvement and growth opportunities
