Mission

We require a highly-motivated, self-reliant individual that can perform a wide range of administrative functions under minimal direction. You will exhibit a positive can-do attitude, sound decision-making and problem solving skills. This role will provide executive administrative support for EMEA Senior Management members which are located in Geneva by reporting to the VP, HR, EMEA.

You will be working in a complex environment with demanding workload, dealing with confidential information, be able to work to deadlines and have the ability to assimilate written and verbal communication.

Roles & Responsibilities
  • Provide a high quality organizational support service by performing administrative and clerical tasks with a high attention to detail
  • Acting as a key liaison point between the EMEA functional leaders:
    • Finance
    • Human Resources
    • Operations & Supply Chain
    • Sales & Marketing
  • Effective management of the scheduling, assessing priority of appointments and reallocation as necessary.
  • Organize meetings and events. This will include preparing agendas, pre-meeting briefings and meeting papers, room bookings, conference facilities, venues, collating and distributing meeting materials.
  • Providing support for an extensive range of meetings:
    • Create, format and consolidate slides for management presentations.
    • Preparation and consolidation of memos and reports by using PowerPoint and Excel
  • Receiving and dealing with telephone calls professionally, re-directing or taking messages and using initiative to deal with queries.
  • Evaluating, collating and presenting inward communications; answering and screening all telephone calls, dealing with queries arising, forwarding matters of relevance to stakeholders.

Profile of the job holder

3.1. Education
  • High School degree or equivalent
  • Associate degree or greater is preferred
  • Technical / Business School Certificate or Diploma
  • Skilled Trades Apprenticeship, or other post high school training (min. two years duration)
3.2. Languages
  • Excellent English and French language skills – both written and verbal
  • Other EMEA languages are a plus
3.3. Experience
  • Experience of working in a customer centric and dynamic environment.
  • 5 years of experience as assistant / coordinator to senior management with excellent secretarial and organizational skills
3.4. Competencies & Skills
  • Ability to organize and plan own work , on own initiative and to tight deadlines
  • Excellent interpersonal and communication skills:
    • being comfortable in communicating with internal and external stakeholders at all levels in English
    • able to ensure effective and confidential communication with a wide range of contacts both internal and external
  • Ability to assimilate large quantities of written and verbal communication quickly and produce accurate output
  • Highly organized with strong attention to detail, and ability to manage multiple priorities
  • Exhibits a can do and forward thinking attitude
  • Evidence of confidentiality and trust and a diplomatic and discreet approach
  • Positive and customer oriented attitude
  • Superior computer skills in Microsoft Office software including Outlook, PowerPoint, Word, and Excel
  • Superior follow-up and follow-through capabilities
  • Team oriented perspective; able to work well & contribute with others
