  • Agenda management and general administrative tasks for VP Procurement, EMEA and direct team
  • Agenda management and general administrative tasks for Senior Director, BEL Janssen and MedTech
  • Organization of weekly, monthly, and quarterly Leadership Team meetings
  • Ad hoc/backup administrative support for the EMEA, Commercial Procurement Teams based in Switzerland, Belgium and other local markets
  • Booking of flights, hotels, and cars for Sr. Directors and above
  • Coordination of visa matters, like timely applications and invitation letters
  • Management of monthly expenses for Sr. Directors and above
  • Manage all logistics for interviews
  • Handle all new employee requests and coordinate onboarding
  • Edit and send announcements for the Procurement team
  • Coordination of internal and external events, conferences, and meetings locally and outside of Switzerland
  • Various administrative tasks upon request of the team including (i.e. PO creation for team, processing of invoices for team, etc)
  • Record keeping/compliance assessments monitoring and follow ups for the team
Who We Are Looking For
  • Commercial Apprentice Certificate, General Commercial Degree or equivalent
  • At least 5 years of experience as an Executive Assistant or similar roles
  • Experience working a multinational and multicultural company and office environment
  • Knowledge of Health Care sector is a plus
  • Knowledge Procurement functions would be a real asset
  • High computer literacy (MS-Office pack)
  • Very reliable with a strong sense of completing tasks to the agreed quality and time
  • Ensures professional interaction with diverse stakeholders outside the department
  • Dynamic and great team player willing to give the extra effort for the team
  • Very flexible, stress resistant and capable to deal with ambiguity
  • A self-starter who will take initiative to improve things when applicable
  • Able to manage priorities, to anticipate and be reactive when needed
  • Proficient level in English (both written and spoken)
  • Second languages would be an asset
This role based in Zug, Switzerland will initially be limited for 6 months, with the option for an extension.
