  • Provides and often leads a full range of highly confidential / administrative support activities, exercising sensitivity, tact and diplomacy
  • Acts as first point of contact for all queries - screen, redirect and action all incoming matters, following up where required
  • Prepares complex correspondence, reports, presentations, agendas, minutes, etc. using business software applications
  • Puts together internal and external communication
  • Coordinates work activities with the internal support departments (Finance, Legal, HR)
  • Participates in the development and implementation of administrative standards, policies
  • Receives and directs incoming calls, visitors, mail, prioritising communications as appropriate
  • Responsible for maintaining files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses
  • Supervise financial execution and contract to cash process
  • Supervise with Finance the issuance of Customer invoices, ensure their payment on time, and manage the DSO
  • Supervise with Finance the payment of Supplier invoices on time
  • Collects and analyses financial information to support commercial decision making
  • Prepare financial statements, reports, memos, and other documents
  • Support Dentsu Tracking Senior Management in the development of budget, forecast and business cases
  • Identifies and monitors underlying drivers of cost and revenue variances between actual expenditure vs. forecast/budget, highlighting issues and margin impact where necessary
  • Participates in tender bid team activities, including pitches for new business and preparing bid responses, driving appropriate commercial terms, pricing and profitability
Qualifications
  • You have around 5 -7 years of experience as an Executive Assistant and experience in a financial, controlling or operational field
  • You hold a university diploma, or finished an MBA
  • You are savvy in finances, and have a good knowledge of IFRS
  • Your present outstanding organizational and time management skills, act in a discrete and autonomous manner
  • Excellent MS Office knowledge
  • Fluent in English and French, Spanish is a plus
