About Our Client

Our client is a private foundation.

Job Description
  • Manage calendars which will include internal and external appointments.
  • Confirm meetings and coordinate with other assistants.
  • Prepare printable material and proactively identify meeting goals/priorities.
  • Coordinate travel arrangements including flights, visas/passports, cars, hotels, etc.
  • Determined how to pull an Executive out of a meeting in a professional way if a more pressing matter comes up.
  • Supervise a Junior Assistant including training and on-baording.
  • Maintain and organize files.
  • Book conference rooms for both internal and external meetings.
  • Interview other assistants and make hiring recommendations.
  • Create agendas and memo’s prior to meetings.
  • Manages incoming and outgoing calls as per needs
  • Manages relationships with externalized IT support and acts as a focal point for IT queries
  • Keeps IT inventories up to date (material, access rights and phone numbers), orders IT material and ensures follow up
The Successful Applicant
  • 3+ years of Administrative Assistance experience supporting directors
  • Bachelor degree or CFC
  • Strong communication skills.
  • Highly organized and exceptional attention to detail.
  • Experience coordinating travel arrangements.
  • Familiarity with Microsoft suite.
  • French and English a must
