For an international organization, we are looking for an

HR Assistant (Board Administration) EN

Your challenges
  • Serve as Secretary on Appointment Boards (convening meetings, arranging interviews, tests and assessment centers, distributing information on the relevant policies and procedures to Board members, proposing interview questions and tests, recording the proceedings, maintaining records, carrying out reference checks and preparing the Board’s final report)
  • Provide administrative support on the recruitment and selection process for temporary and fixed term staff (processing applications, carrying out pre-screening based on eligibility criteria where required, drafting correspondence and responding to queries from candidates and making all other logistical arrangements to ensure smooth completion of the process within the target timeline)
  • Assist with responding to queries sent to the generic email box providing helpdesk service and information to internal and external applicants and follow up if required.
  • Perform other job-related duties as required.

Your Skills

Education (Essential)
  • Completed secondary education.
Experience (Essential)
  • Relevant professional experience in administrative support roles or logistical coordination, preferably with experience in recruitment support.
Experience (Desirable)
  • Relevant HR experience.
  • Relevant experience in an international organization.
  • Experience with and knowledge of an ERP system, preferably PeopleSoft.
  • Experience with and knowledge of recruitment tools ideally Taleo.
Language (Essential)
  • Excellent knowledge of English, minimum C1 (with excellent drafting capabilities)
Language (Desirable)
  • Good knowledge of French. Knowledge of other UN official languages.
Skills and Competencies (Essential)
  • Client orientation, with the ability to deliver a high quality client service. Ability to provide logistical and secretarial support.
  • Ability to work collaboratively in a team.
  • Strong analytical and problem-solving skills; initiative in resolving complex and sensitive issues; tact and discretion.
  • Excellent organizational and time management skills with the ability to manage competing priorities.
  • Excellent drafting skills.
  • Excellent interpersonal and communication skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity.
  • Competent user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint), the internet and information systems, with the ability to adapt quickly to new software.
