INTRODUCTION:

The HR Shared Service Coordinator will assist the HR Shared Service Manager on the day-to-day activities of the HR Shared Service.


DESCRIPTION DE LA MISSION:
  • Act as the liaison between HR BP, line and Shared service center ensuring smooth and prompt resolution of queries and business continuity
  • Implement standard routines in order to improve the employee life cycle management
  • Establish work contracts, open personal file and make sure that the employee’s documentation is complete for operational purposes such as payroll, personnel file and legal requirements (AVS card, etc.). Transfer complete file to Shared service center for further steps.
  • Update HRIS system
  • On- and off-boarding: prepare all related documents, letters and inform concerned departments. Deliver work certificates when HR BP’s request.
  • Work permit : streamline process within Abacus and make sure new requests, work permit renewal are made on time for Geneva and with the necessary documentation
  • Deliver intermediate and final work certificates
  • Answer employees when requesting an attestation and deliver document in due time.
  • Centralises HR line KPI’s request and maintains data when needed
  • Agency invoice management and other finance/RH related tasks
  • Handle post mail management (tournus)
  • Fix and temporary employees: create; update candidate or temporary collaborator sheets.
  • Challenge inefficient processes and proposes new approach or participates in process improvement (e.g. Abacus)
  • Participate in HRIS project when needed

PROFIL ATTENDU:
  • Previous experience as an assistant to HR BP, at least 3 years
  • Good knowledge of Swiss labour law
  • Excellent writing skills in French and ideally English

MS Office, excellent level in particular word, excel


Ideally previous experience using Abacus
