The International Trade Execution Function is a global organization of ~ 500 people primarily based close to our trading centers. This function plays a pivotal role within LDC to ensure both internal and external customer satisfaction while optimizing the value of each transaction. Accountable for the flawless execution of raw & white sugar and ethanol, the International Execution Specialist / Supervisor is autonomous in the decision-making process within his/her decision rights and has good command of all aspects of execution in a given field.

Job Description

Along with the below listed responsibilities, the employee should conduct any other business related to the function as required by her or his supervisor.

Proactively manages the assigned execution pipeline upon nomination:
  • Manages own assigned vessels to flawless execution meeting deadlines and proactively resolving potential issues.

Stays fully up to speed on all related contracts (contract administration):
  • Full understanding of the commercial contracts assigned as well as Sugar Association Rules, vessel charter parties contractual obligations, etc;
  • Fully understands the service to be contracted during the execution of contracts such as surveyors;
  • Proactively resolves issues as they arise and escalate to managers, as needed.

Manage the shipping instruction process ensuring documents meet contractual obligations:
  • Manages the nomination process with shippers on a timely fashion to ensure full compliance with contractual deadlines;
  • Appoint third parties (supervision, agent, insurance) to monitor loading/discharging operation as needed;
  • Follow up on daily operations to ensure cargo is loaded as per contractual obligations (weight, quality, quantity, packing, RSA rules, etc) to ensure smooth operations;
  • Ensure conformity of document instructions from buyers and issue shipping documentary instruction to sellers accordingly. Ensure that documents received in the process match LDC’s contractual obligations;
  • Ensure smooth and cost competitive operation during loading and discharging;
  • Proactively manages the operations to ensure issues are dealt and resolved in a timely manner.

Maintains the front system updated:
  • Maintains timely and accurate updates to the front system;
  • Maintains detailed and accurate filing documentation to ensure supporting documentation is available.

Manage the payment cycle:
  • Prepare/Check Letter of Credit to ensure compliance with contract terms as well as UCP & ISPB rules and negotiate LC documents with the support of the LCEC;
  • Prepare outgoing commercial invoices in a timely fashion;
  • Follows up on accounts receivable to ensure LDC is fully paid;
  • Reviews and approves incoming invoices for payment. File invoices in accordance with TAC requirements. Elevate issues to trader or execution manager if discrepancies are identified.

Laytime:
  • Follows up on calculated laytime to ensure timely settlement of files.

Ensures strict adherence with LDC policies and legal requirements:
  • Ensure full compliance with LDC’s internal polices and legal requirements;
  • Ensure full compliance with the Group’s Code of Conduct.

Other:
  • Follow up on vessel insurance and/or discharge/import formalities when applicable to ensure all administrative formalities are processed on time;
  • Ensure complete customer and country documentation requirements up properly documented & filed;
  • Provide technical expertise;
  • Provide timely feedback to assist in development of team members;
  • Contribute to projects;
  • Continuously strive at improving the current way of working.

Warehouse Coordinator: (if applicable)
  • Ensure that CMA/SMA contracts are approved, templates are utilized and all internal procedures have been followed (tax, legal, treasury, etc);
  • Ensure that warehouses are approved by underwriters & supervision company prior to unloading following Insurance department requirements. Ensure that recommendations made by the warehouse operator are followed up and implemented. Exceptions need to be elevated to platform and insurance department;
  • Ensure all local services are timely contracted to ensure a smooth execution of operations: local insurance expert, surveyor, agent and warehouse operator;
  • Coordinate the resolution of issues supporting the local team in India: re-bagging of sugar, customer clearance, insurance, warehouse condition, etc. Elevate issues as needed to a timely resolution;
  • Be the contact point for traders for logistic and trade issues, should aim at providing feedback and info to traders on matters impacting trade;
  • Be the first escalations point for quality or other contractual issues, should aim at settling issues at his level with the help of his manager whenever achievable;
  • Support the India Team in the payment cycle, as needed.
Experiences
5-10 years’ experience at least in a similar function
Skills
  • First experience in international trades (preferably in the agricultural industry) with exposure to international contract terms (GAFTA , FOSFA , ANEC , RSAL , PORAM, NAEGA, NY11 etc) preferred
  • Knowledge of international payment instruments, current banking & trade practices, UCP 600 and Incoterms 2010
  • Fluent spoken and written English
  • Effective communication with third parties and all internal stakeholders
  • Good aptitude for numbers, analysis and excellent attention to detail
  • Highly organized and self-motivated
